Job Summary:
We are seeking a detail-oriented and responsible Back Office Executive to support daily operations in our FMCG distribution business. The role involves handling billing, coordinating dispatch activities, and supervising loaders and drivers at an operational level to ensure smooth and timely delivery of goods.
Key Responsibilities:
1. Billing & Documentation
- Generate accurate invoices and billing entries in the system
- Maintain records of sales, stock movement, and dispatch details
- Ensure proper documentation for all outgoing and incoming goods
2. Dispatch Coordination
- Plan and coordinate daily dispatch schedules
- Ensure timely loading and dispatch of goods as per orders
- Communicate with drivers to track deliveries and resolve issues
3. Team Supervision (Loaders & Drivers)
- Manage and supervise loaders and drivers on a day-to-day basis
- Assign duties and ensure proper handling of goods
- Monitor attendance, discipline, and basic performance
4. Inventory & Record Management
- Assist in maintaining stock records and physical inventory checks
- Coordinate with warehouse staff to ensure stock accuracy
5. Operational Support
- Handle basic administrative tasks related to dispatch and logistics
- Coordinate with sales and warehouse teams for order fulfillment
- Report daily activities and issues to the reporting manager
Requirements:
- Minimum qualification: Graduate / Diploma
- 1–3 years of experience in FMCG distribution or warehouse operations preferred
- Basic computer knowledge (MS Excel, billing software)
- Good organizational and coordination skills
- Ability to handle field staff (loaders & drivers) effectively
- Strong attention to detail and time management
