Job Summary
The Purchase Assistant – Business Vehicle Maintenance & Management is responsible for supporting the procurement of materials, coordinating purchases, maintaining purchase records, and ensuring the efficient maintenance, compliance, and operational readiness of the company’s business vehicles. The role requires close coordination with vendors, transport personnel, stores, finance, and internal departments to ensure uninterrupted business operations.
Key Responsibilities
Purchase & Procurement
* Assist in sourcing, evaluating, and coordinating with suppliers.
* Prepare purchase orders and follow up on deliveries.
* Obtain quotations and compare prices to ensure cost-effective procurement.
* Maintain purchase records, supplier databases, and documentation.
* Coordinate with stores to monitor inventory levels and replenish stock.
* Follow up with vendors regarding deliveries, invoices, and pending orders.
* Ensure purchases comply with company policies and approved budgets.
Business Vehicle Maintenance & Management
* Maintain records of all company-owned business vehicles.
* Schedule and coordinate preventive maintenance, servicing, repairs, and inspections.
* Monitor vehicle fitness, insurance, permits, pollution certificates, and other statutory documents to ensure timely renewals.
* Coordinate with drivers, workshops, and service providers to minimize vehicle downtime.
* Track vehicle running costs, maintenance expenses, and fuel consumption.
* Maintain service history and repair records for each vehicle.
* Report recurring vehicle issues and recommend corrective actions.
* Ensure vehicles remain clean, roadworthy, and available for operational requirements.
Administration & Coordination
* Coordinate with internal departments regarding procurement and vehicle requirements.
* Prepare periodic reports on purchases, vendor performance, and vehicle maintenance status.
* Support audits by maintaining accurate documentation.
* Assist in implementing cost-saving initiatives in procurement and fleet management.
* Perform other duties assigned by the Purchase Manager or Management.
Qualifications
* Bachelor’s degree in Commerce, Business Administration, Supply Chain Management, or a related field.
* 1–3 years of experience in procurement, administration, or fleet/vehicle management.
* Fresh graduates with relevant knowledge may also be considered.
Skills & Competencies
* Knowledge of procurement processes and vendor management.
* Basic understanding of commercial vehicle maintenance and statutory compliance.
* Proficiency in MS Excel, Word, and ERP systems.
* Strong organizational and documentation skills.
* Good negotiation and communication abilities.
* Ability to coordinate with multiple stakeholders and manage priorities.
* Attention to detail and problem-solving skills.
* High level of integrity and accountability.
Pay: From ₹25,000.00 per month
