Event Production Assistant

Location: Pune

Reporting To: HR Manager / Operations Head

Experience Required: 0–2 Years

Position Overview

As an Event Production Assistant in an event management firm, your role will be to provide support to the event production team in executing various aspects of event planning and production. Your contribution will play a vital role in delivering successful events and maintaining client satisfaction.

Key Responsibilities

Event Logistics and Coordination:

Assist in the coordination of event logistics, including venue selection, permits, transportation, and accommodation arrangements.
Support the planning and execution of event setups, including staging, lighting, sound, and audiovisual requirements.
Coordinate with internal teams, such as event planners, production managers, and technical crews, to ensure seamless event operations.

Resource Management:

Assist in managing event resources, including equipment, materials, and supplies.
Assist in coordinating staffing requirements, including technical crews, volunteers, and other event personnel.

Onsite Event Support:

Provide on-site support during event setup, rehearsals, and live event operations.
Assist in troubleshooting technical issues and coordinating solutions with the production team.
Assist in coordinating event flow and ensuring seamless transitions between program segments.
Assist in managing event emergencies and incidents, following established protocols and procedures.

Documentation and Reporting:

Assist in maintaining accurate records and documentation related to event production.
Support the preparation of event-related reports, including production schedules, inventories, and post-event evaluations.

Qualifications and Skills

High school diploma or equivalent (required); a degree or diploma in event management.
Proven experience in event coordination or production support (preferred).
Basic understanding of event production elements, including staging, lighting, sound, and audiovisual equipment.
Excellent organizational and multitasking skills, with the ability to work on multiple tasks simultaneously.
Strong attention to detail and ability to follow instructions accurately.
Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members, vendors, and clients.
Ability to work well under pressure and meet tight deadlines.
Flexibility to work irregular hours, including evenings and weekends, as required for event setup and execution.
Basic knowledge of health and safety regulations and practices related to event production.
