Job description:
Key Responsibilities (KRAs)1. Facility & Office Management
- Infrastructure Upkeep: Oversee the daily maintenance of office premises, including utilities, HVAC, and cleaning services, ensuring 100% operational uptime.
- Asset Management: Maintain an accurate inventory of office assets (furniture, IT hardware, stationery) and manage the lifecycle from procurement to disposal.
- Safety & Security: Ensure full compliance with fire safety, health, and building regulations; manage security personnel and access control systems.
2. Vendor & Procurement Management
- Cost Optimization: Negotiate and manage contracts with service providers (courier, pantry, housekeeping) to achieve at least [X]% annual cost savings.
- Supply Chain Support: Coordinate with vendors to ensure timely delivery of office supplies, preventing stock-outs through proactive inventory tracking.
- Billing & Compliance: Verify and process vendor invoices with 100% accuracy, ensuring all payments align with agreed contract terms.
3. Operational Support & Coordination
- Travel & Logistics: Manage end-to-end travel arrangements (bookings, visas, local transport) for the management team and staff.
- Event Coordination: Lead the logistics for internal meetings, corporate events, and training sessions to ensure professional execution.
- Documentation: Maintain a robust filing system (digital and physical) for legal documents, contracts, and internal SOPs.
Required Skills & Qualifications
- Experience: 2-3 years in administrative or office management roles.
- Technical: Proficiency in Microsoft Office Suite (Excel is critical) and experience with ERP/Admin software.
- Negotiation: Proven ability to manage vendors and drive cost-efficient procurement.
- Organization: Exceptional multitasking skills with a "solutions-oriented" mindset.
- Communication: Strong verbal and written communication skills for cross-departmental coordination.
Pay: ₹25,000.00 - ₹35,000.00 per month
