Dispatch & Documentation Coordinator
Location: Jodhpur, Rajasthan (On-site)
Job Summary:
We are looking for a detail-oriented and organized Dispatch & Documentation Coordinator to manage dispatch operations, maintain digital records, coordinate with transporters and customers, and handle all related documentation and paperwork. The ideal candidate should be proficient in Microsoft Excel and comfortable working with computers and ERP/software systems.
Key Responsibilities
Coordinate daily dispatches of finished goods.
Prepare dispatch documents and related paperwork.
Maintain accurate digital records of dispatches, deliveries, and inventory movements
Coordinate with production, sales, accounts, transporters, and customers for smooth dispatch operations.
Track vehicle movements and ensure timely delivery of goods.
Update dispatch reports and MIS in Excel.
Maintain filing systems for physical and digital documents.
Follow up on pending dispatches, delivery confirmations, and transporter documentation.
Generate daily, weekly, and monthly dispatch reports.
Assist management with operational data and record management.
Required Skills
- Good knowledge of Microsoft Excel (VLOOKUP, Pivot Tables, etc.).
- Proficiency in MS Office (Word, Outlook, Excel).
- Good computer and internet skills.
- Strong documentation and record-keeping abilities.
- Good communication and coordination skills.
- Ability to handle multiple tasks and follow deadlines.
- Basic understanding of logistics, dispatch, or inventory processes.
Qualification
- Graduate in any discipline (B.Com, BBA, BA, or equivalent preferred).
- 1–3 years of experience in dispatch, logistics, administration, or coordination roles.
Preferred Experience - Experience in:
- Manufacturing industry
- Mining and minerals industry
- Logistics and transportation
- Dispatch operations
- ERP software (Tally, Busy, SAP, or similar)
