About the Role
We are looking for a smart, agile, technology-oriented Executive / Personal Assistant to the CEO who can work closely with the CEO and support him across business coordination, information management, data analysis, communication, and day-to-day execution.
This is not a traditional administrative PA role. The person will be expected to understand the context behind information, work independently, use technology and AI effectively, maintain strict confidentiality, and move quickly from information → understanding → action.
Key Responsibilities
1. CEO Support & Business Coordination
- Manage and prioritize the CEO's calendar, meetings, appointments, and commitments.
- Prepare meeting briefs, agendas, notes, action points, and follow-ups.
- Track important decisions, pending actions, deadlines, and commitments.
- Coordinate with internal teams and external stakeholders on behalf of the CEO.
- Ensure that important tasks don't get lost between meetings or departments.
- Act as a strong execution partner to the CEO on day-to-day priorities.
2. Data Management & Reporting
- Collect, organize, maintain, and analyze business and operational data.
- Prepare dashboards, MIS reports, summaries, trackers, and presentations.
- Convert raw data into clear and actionable information for the CEO.
- Maintain structured databases, files, records, and information repositories.
- Ensure accuracy, consistency, version control, and easy retrieval of important information.
- Identify gaps, inconsistencies, trends, and unusual data points and proactively highlight them.
3. Data Privacy & Confidentiality
- Handle highly confidential business, financial, employee, customer, and strategic information.
- Maintain strict data privacy and information security practices.
- Understand the importance of need-to-know access, secure sharing, permissions, document control, and confidentiality.
- Exercise sound judgment about what information can be shared, with whom, and through which channel.
- Ensure sensitive information is not casually shared through email, messaging platforms, AI tools, or other external applications.
4. Technology & AI
- Be highly comfortable with modern technology and digital tools.
- Use AI tools effectively for research, summarization, analysis, drafting, reporting, data organization, and productivity.
- Identify opportunities to automate repetitive tasks and improve workflows.
- Work confidently with tools such as Excel/Google Sheets, PowerPoint, Google Workspace/Microsoft Office, cloud storage, collaboration tools, and AI platforms.
- Quickly learn and adapt to new software and systems.
- Use AI intelligently while understanding its limitations, particularly around confidential and sensitive company information.
5. Research & Problem Solving
- Conduct quick and reliable research on industries, companies, people, technologies, markets, and business topics.
- Prepare concise research notes and decision-support summaries for the CEO.
- Verify information from multiple sources rather than simply forwarding search results.
- Handle ad-hoc business problems and find practical solutions quickly.
- Connect information from different sources and identify what actually matters.
6. Follow-up & Execution
- Maintain trackers for key projects, discussions, decisions, and deliverables.
- Follow up with stakeholders and ensure closure of action items.
- Anticipate the CEO's requirements and prepare information/materials proactively.
- Identify potential issues before they become problems.
- Work with a strong sense of urgency and ownership.
