We are seeking a highly skilled, detail-oriented Personal Assistant (PA) to directly support our Managing Director. While this position includes standard executive administrative duties, the core focus of this role is real-time dictation and advanced email draft creation.The ideal candidate must possess exceptional listening skills, rapid typing or shorthand capabilities, and the ability to capture the Managing Director's voice, tone, and intent accurately. You will act as the primary filter and voice for the MD’s daily digital correspondence, ensuring all communication is professional, prompt, and perfectly articulated.Key ResponsibilitiesPrimary Role: Dictation & Advanced Email Management
- Live Dictation: Take fast, accurate dictation (via shorthand, rapid typing, or digital dictation tools) during meetings, calls, or dedicated daily download sessions with the MD.
- Email Drafting & Composition: Transform verbal briefs, rough notes, and spoken dictation into polished, professional email correspondence on behalf of the MD.
- Inbox Management & Triage: Monitor, organize, and prioritize the MD’s daily influx of emails. Categorize urgent matters and flag items requiring immediate personal attention.
- Tone & Persona Alignment: Adapt writing styles seamlessly to match the MD’s unique voice across various stakeholders (e.g., board members, clients, internal teams).
- Quality Assurance: Meticulously proofread and edit all outgoing drafts for grammar, clarity, syntax, and alignment with corporate compliance standards.
Regular Personal Assistant Core Duties
- Calendar Management: Maintain, optimize, and schedule the MD’s complex calendar, ensuring seamless transitions between meetings and buffer time for deep work.
- Meeting Preparation: Coordinate executive meetings, prepare agendas, compile briefing documents, and record accurate minutes or action items.
- Travel Coordination: Arrange comprehensive domestic and international travel itineraries, including flights, accommodation, visas, and ground transit.
- Gatekeeping & Liaison: Act as the primary point of contact between the MD and internal/external stakeholders, managing phone calls, visitors, and informational requests.
- Expense & Document Management: Handle expense reports, maintain secure digital filing systems, and manage confidential corporate documents.
Required Qualifications & SkillsTechnical & Writing Skills
- Exceptional Communication: Flawless written and verbal English with a mastery of business etiquette and corporate terminology.
- Speed & Accuracy: High-speed typing (minimum 60-70 WPM) or proficiency in shorthand/speed-writing.
- Software Proficiency: Advanced skills in Microsoft Office 365 (specifically Outlook, Word, and Teams) or Google Workspace. Experience with digital dictation or transcription tools is highly desirable.

Experience & Education
- Experience: Minimum of 3–5 years of experience as a Personal Assistant, Executive Assistant, or Transcriptionist directly supporting C-suite or senior executives.
- Education: Bachelor’s degree in English, Communications, Business Administration, or a related field is preferred. Certification in secretarial practices or shorthand is a distinct advantage.
Pay: ₹40,000.00 - ₹60,000.00 per month
