Job Summary
The Sales Coordinator will provide administrative and operational support to the Sales team by coordinating customer orders, preparing quotations, maintaining sales records, ensuring timely order processing, and serving as a liaison between customers, production, dispatch, purchase, and accounts. Candidates with experience in the chemical manufacturing industry will be preferred.
Key Responsibilities
- Coordinate with the Sales team to process customer inquiries, quotations, and sales orders.
- Prepare and follow up on quotations, Proforma Invoices (PI), and purchase orders.
- Coordinate with Production, Planning, Stores, and Dispatch teams to ensure timely execution of customer orders.
- Monitor order status and keep customers informed regarding delivery schedules.
- Maintain accurate customer records, sales reports, and MIS.
- Prepare daily, weekly, and monthly sales reports for management.
- Coordinate with the Accounts Department regarding invoices, payment follow-ups, and outstanding receivables.
- Maintain customer databases and update pricing, product details, and order history.
- Handle customer complaints and coordinate with internal departments for timely resolution.
- Support the Sales team in preparing tender documents, contracts, and technical documentation.
- Coordinate sample dispatches and maintain related records.
- Assist in inventory coordination to ensure product availability for customer orders.
- Maintain proper documentation for dispatches, transport, and logistics.
- Ensure compliance with company policies and documentation procedures.
- Provide administrative support to the Sales & Marketing Department as required.
Required Skills
- Experience in sales coordination within a chemical manufacturing company.
- Good knowledge of sales order processing and customer relationship management.
- Strong communication and interpersonal skills.
- Proficiency in MS Excel, MS Word, and ERP software (SAP, Tally, Oracle, or similar).
- Ability to coordinate with multiple departments and manage priorities.
- Strong organizational and documentation skills.
- Good analytical and reporting abilities.
- Ability to work under pressure and meet deadlines.
Preferred Experience
- 3–5 years of experience as a Sales Coordinator in a Chemical Manufacturing Company.
- Experience in handling industrial or B2B customers.
- Knowledge of dispatch coordination, logistics, invoicing, and documentation.
- Familiarity with GST-related sales documentation and commercial processes.
