Front Office Management
- Receive parents, patients, and visitors professionally and courteously.
- Provide proper guidance regarding therapy sessions and appointments.
- Address and resolve patient/parent queries promptly.
- Maintain a calm, supportive, and professional communication environment.
Therapy Coordination
- Allocate therapy sessions according to therapist availability and patient requirements.
- Coordinate with therapists for daily session planning.
- Ensure smooth functioning of all therapy schedules.
- Handle all therapy-related enquiries from parents and patients.
- Communication with Parents
- Clearly inform parents regarding:o Therapy session timings o Therapist absences o Patient absenceso Schedule changes or rescheduling
- Maintain transparent and professional communication at all times. Ensure parents receive timely updates regarding therapy services.
Software & Documentation Management
- Efficiently use the organization’s software tools for:
Therapy scheduling , Attendance tracking ,Patient follow-up o Session updates
- Maintain manual therapy charting accurately when required.
- Ensure all therapy records are updated properly and regularly.
Follow-Up Responsibilities
- Conduct proper follow-up for each child/patient regarding:
Attendance ,Missed sessions ,Therapy continuation ,Parent concerns
- Maintain proper follow-up records and communication logs.
Phone Call Management
- Attend therapy-related phone calls professionally.
Ensure therapy coordination calls are attended up to 9:00 PM as per organizational requirements.
Respond politely and provide accurate information to parents and patients.
