Job Summary
We are looking for a proactive, organized, and detail-oriented Assistant Executive to provide administrative and operational support to senior management. The ideal candidate will be responsible for managing schedules, coordinating meetings, preparing reports and presentations, handling confidential information, and ensuring smooth day-to-day operations. This role is best suited for someone who can multitask, communicate effectively, and thrive in a fast-paced work environment.
Key Responsibilities
- Manage calendars, appointments, and meeting schedules for senior management.
- Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
- Handle emails, phone calls, and official correspondence professionally.
- Prepare reports, presentations, business documents, and proposals.
- Conduct research and compile data to support business decisions.
- Coordinate travel arrangements, including bookings and itineraries.
- Liaise with internal teams, vendors, consultants, and external stakeholders.
- Maintain confidential records, files, and business documents.
- Support administrative and operational activities for meetings, events, and special projects.
- Track project timelines and ensure timely completion of assigned tasks.
- Create professional PowerPoint presentations and Excel reports.
- Travel across Mumbai for meetings or business requirements whenever required.
- Perform additional administrative and coordination tasks assigned by management.
Requirements
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, Executive Coordinator, or in a similar administrative role.
- Excellent verbal and written communication skills in English (Hindi and Marathi are an added advantage).
- Strong organizational, multitasking, and time management skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Experience preparing professional presentations, reports, and business documents.
- High level of integrity and ability to handle confidential information.
- Strong interpersonal, coordination, and stakeholder management skills.
- Ability to work independently and manage multiple priorities.
- Willingness to travel across Mumbai and work flexible hours when required.

Work Schedule: Monday to Saturday
