Job Purpose:
Job Summary
The Stock Keeper is responsible for receiving, storing, maintaining, issuing, and recording all materials and stock used in garment production. The role ensures that fabrics, trims, accessories, packing materials, and other inventory are available in the correct quantity and condition when required. Proper attendance and punctual behavior is highly needed for this job.
Principal Responsibilities:
Receiving Materials
- Receive fabric, trims, accessories, packing materials, and other items from suppliers.
- Check quantity, item description, color, size, lot/batch, and condition against purchase orders and delivery documents.
- Report shortages, excess quantities, damages, or discrepancies to the Store In-charge / Finance.
Stock Storage & Organization
- Arrange materials systematically in designated storage locations.
- Properly identify and label fabrics, accessories, and other materials.
- Maintain clean, safe, and organized storage areas.
- Follow appropriate storage procedures to prevent damage, contamination, or deterioration.
Material Issuing
- Issue materials to cutting, production, finishing, packing, and other departments against authorized material requisitions.
- Ensure the correct item, quantity, color, size, and specification are issued.
- Record all material movements accurately.
Inventory Control
- Maintain accurate stock records through ERP/software or stock registers.
- Monitor minimum and maximum stock levels.
- Conduct regular physical stock counts and reconcile them with system records.
- Identify slow-moving, excess, damaged, obsolete, or missing stock.
Documentation
- Maintain Goods Received Notes (GRN), Material Issue Notes (MIN), Stock Transfer Notes, Return Notes, and other relevant documents.
- Update inventory records on a timely basis.
- Maintain proper documentation for audits and stock verification.
Fabric & Accessories Control
- Maintain separate and accurate records for different fabrics, colors, sizes, lots, and purchase orders.
- Track trims and accessories such as buttons, zippers, labels, threads, elastics, cartons, polybags, etc.
- Ensure materials are issued according to the relevant production order/style.
Stock Verification
- Participate in daily, weekly, monthly, and annual stocktaking.
- Investigate and report differences between physical stock and system records.
- Assist management in implementing corrective actions.
Coordination
- Coordinate with Purchase, Production, Planning, Quality, Cutting, Finance, and Logistics departments.
- Inform the Store In-charge about material shortages that may affect production.
- Coordinate the return of unused materials from production to the store.
Safety & Compliance
- Follow factory safety, housekeeping, fire-safety, and warehouse procedures.
- Ensure materials are stored safely and aisles/emergency exits remain clear.
- Follow company policies and applicable quality/compliance requirements.
Required Qualifications & Skills
- High school/diploma or equivalent; relevant store/warehouse experience preferred.
- Experience in apparel/garment manufacturing stores is an advantage.
- Basic knowledge of inventory control and stock management.
- Ability to use Excel, ERP, inventory software, or warehouse management systems.
- Good numerical and record-keeping skills.
- Attention to detail and accuracy.
- Good communication and coordination skills.
- Ability to work under production deadlines.
Key Performance Indicators (KPIs)
- Stock accuracy. Existing stocks and future stocks.
- Timely material issuance.
- Number of stock discrepancies.
- Proper documentation and system updating.
- Reduction of material loss/damage.
- Compliance with FIFO/FEFO and storage procedures where applicable.
- Timely identification of shortages and excess stock.
- Warehouse housekeeping and safety compliance.

Authority: The Stock Keeper should not issue, transfer, adjust, or dispose of stock without the required authorization and documentation.
Pay: ₹10,000.00 - ₹15,000.00 per month
