Job Summary:
A Receptionist serves as the first point of contact for visitors, clients, and callers. They are responsible for managing front-desk operations, providing excellent customer service, handling administrative tasks, and ensuring smooth communication within the organization.
Key Responsibilities
- Greet and welcome visitors in a professional and friendly manner.
- Answer, screen, and direct incoming phone calls.
- Manage appointments, meetings, and schedules.
- Receive, sort, and distribute mail and deliveries.
- Maintain visitor logs and issue visitor passes when required.
- Respond to inquiries and provide information about the organization.
- Perform basic administrative tasks such as filing, data entry, photocopying, and scanning documents.
- Keep the reception area clean, organized, and presentable.
- Assist with office supplies inventory and ordering.
- Coordinate with departments to facilitate communication and support daily operations.
Required Skills and Qualifications
- High school diploma or equivalent (associate degree preferred).
- Proven experience in a receptionist, administrative, or customer service role.
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to multitask and prioritize tasks effectively.
- Professional appearance and demeanor.
- Strong organizational and time-management skills.
Preferred Qualifications
- Experience using office equipment such as multi-line phone systems, printers, and scanners.
