Role Overview
The Executive Accountant will manage all accounting functions related to freight forwarding operations including billing, costing, GST compliance, vendor/customer reconciliation, foreign remittances, and banking transactions. The role requires strong understanding of international logistics costing structures and foreign currency financial operations.
Key Responsibilities1. Billing & Costing
- Prepare Invoices, Debit Notes, Credit Notes, and Job Profitability Sheets for Air/Sea Export & Import shipments.
- Verify freight charges, airline/liner invoices, D/O charges, customs invoices, transportation bills, etc.
- Ensure accurate billing under GST (Forward Charge / RCM) as applicable for freight, transportation, and CHA charges.
2. Accounts Receivable (AR)
- Maintain customer ledgers and reconcile outstanding payments.
- Follow up with customers for timely collections.
- Record receipts via NEFT/RTGS/IMPS, TT, cheque, and international inward remittances (SWIFT).
- Prepare AR ageing statements.
3. Accounts Payable (AP)
- Verify vendor bills (Airlines, Shipping Lines, Transporters, Customs Brokers).
- Process domestic and international vendor payments, including USD/EUR/GBP remittances.
- Knowledge of bank charges, TT charges, foreign exchange fluctuations, and related accounting.
- Monthly vendor reconciliation and ageing.
4. GST & Compliance
- Strong working knowledge of GST applicable in freight forwarding, including:
- RCM for import freight
- Forward Charge billing for export/import services
- Input Tax Credit (ITC) reconciliation
- GSTR-1 & GSTR-3B preparation support
- Ensure GST correctness on all invoices (domestic & export).
5. Banking & Foreign Remittances
- Handle daily bank reconciliation.
- Process outward international remittances including:
- SWIFT payments
- Bank A2 forms
- Purpose codes (P0104, P0802, etc.)
- Cross-border transactions
- Monitor forex rates and coordinate with banks for preferential rates.
- Record gain/loss on foreign currency.
6. Reporting
- Prepare MIS reports including:
- Revenue vs Cost
- Job profitability
- Outstanding AR/AP
- Bank & cash reports
