Position Overview:
In this full-time role, the Clinic Manager is responsible for the successful day-to-day operation of our cosmetic skin & hair clinic. This includes managing administrative processes, supervising staff coordination, and ensuring a high-quality patient experience while also meeting clinic business objectives.
Key Responsibilities
- Clinic Operations: Oversee daily clinic operations, including opening/closing procedures, appointment scheduling, and patient flow management. Maintain adherence to standard operating procedures.
- Team Leadership: Recruit, train, and manage clinic staff (receptionists, therapists, doctors, counselors, support personnel). Create duty rosters, conduct staff meetings, and evaluate performance. Promote a positive work culture and provide coaching in patient handling and service excellence.
- Patient Experience: Ensure exceptional patient care from first contact to post-treatment follow-up . Address patient inquiries and complaints promptly and professionally. Safeguard patient confidentiality and comfort. Monitor feedback and implement improvements to maximize satisfaction.
- Sales & Revenue: Drive sales growth and meet monthly/quarterly targets. Promote treatment packages and membership programs. Track and follow up on leads and inquiries until closure. Counsel patients on treatments, pricing, and financing options to optimize conversion. Coordinate with marketing on promotions and campaigns.
- Inventory & Vendor Management: Maintain optimal stock levels of consumables, products, and equipment. Monitor inventory usage and costs, and coordinate timely procurement. Work with vendors to negotiate pricing and ensure quality supplies. Implement measures to minimize wastage and shrinkage.
- Regulatory Compliance: Ensure clinic adheres to national and local healthcare regulations. Enforce hygiene, sterilization, and safety protocols (e.g. biomedical waste disposal, infection control). Maintain records as required under the Clinical Establishments Act. Uphold patient privacy standards .
- Reporting & Analysis: Prepare and review operational reports (daily/weekly/monthly) on revenue, patient visits, conversion rates, and inventory status. Use data to identify trends, issues, and opportunities. Present insights and action plans to senior management. Coordinate with accounting on billing accuracy and cash flow.
Qualifications & Competencies
- Education: BDS/MDS(Certification in Cosmetology), Bachelor’s in Healthcare Management, Business Management, or a related field. A Master’s degree or diploma in Hospital/Health Administration is a plus.
- Experience: 3–5+ years’ experience in managing a healthcare or service-oriented facility (e.g., clinics, hospitals). Experience specifically in dermatology, aesthetics, hair restoration, or plastic surgery clinics is preferred.
- Technical Knowledge: Familiarity with cosmetic dermatology and hair treatments (e.g., laser procedures, injectables, skincare products). Proficiency with clinic management software and MS Office.
- Skills: Strong leadership and team-building ability. Excellent communication and interpersonal skills. Customer-service orientation with the ability to handle premium clients. Target-driven with a sales mindset. Strong organizational, multitasking, and problem-solving skills. High ethical standards, professionalism, and discretion with patient information.
- Licenses/Certs: Certificate in Clinical Cosmetology, Any professional qualifications in healthcare or management are a plus.
- Language: Fluency in English (additional local language proficiency) is required.
Working Hours & Benefits
- Schedule: Typically Monday–Saturday, 9:00 AM – 6:00 PM (with one weekly off). Flexibility required for special clinic events or extended hours.
- Probation & Notice: Probation period (as per company policy). Notice period as per applicable labor laws (typically 1–3 months). Employment terms will comply with Indian labor regulations and ethical standards.
