The documentation officer is responsible for managing the end-to-end documentation of credit facilities, ensuring strict compliances with regulatory guidelines (RBI/banking regulations) and bank policies. A key component of this role is preparing and analyzing Credit Monitoring Arrangement (CMA) data to assess the financial health and creditworthiness of corporate/SME client applying for working capital or term loans.
Key Responsibilities & Job Duties
1. CMA data preparation & financial analysis (Core Responsibility)
· Compile and Prepare CMA Data: Generate comprehensive 3–5year CMA reports (Past, Estimated, and Projected) for working capital (CC limits) and term loan proposals.
· Financial Analysis: Analyze historical financial statements, prepare comparative statements of current assets/liabilities, and evaluate cash flow and fund flow statements.
· Ratio Analysis: Calculate key financial ratios, including Debt-Equity Ratio, Current Ratio, Quick Ratio, Stock Turnover, and Net Working Capital.
· MPBF Calculations: Calculate the Maximum permissible Bank Finance (MPBF) to determine working capital requirements.
· Variance Analysis: Conduct monthly/quarterly variance analysis between projected vs. actual financials to identify performance gaps.
2. Credit Documentation & Compliances
· Document Preparation: Draft, review, and validate loan agreements, security documents, mortgage documents, and guarantee based on approved credit proposals.
· Regulatory Compliances: Ensure all documentation complies with banking guidelines, RBI regulations, and internal bank policies.
· Collateral Perfection: facilitate perfection of securities, including mortgage registration charge creation with ROC/CERSAI, and lien marking.
· Pre-Disbursement Audit: Verify that all pre- disbursement conditions (CPs) are met before releasing funds.
3. Client Interaction & Internal Liaison
· Liaison with Borrowers: Collect necessary financial documents, such as audited financials, GST returns, Bank Statements and Stock Statements.
· Internal Coordination: Work with Relationship Managers, Credit Underwriting & Legal Counsel to expedite loan processing.
· Audit Support: Maintain a secure & organized documentation repository for internal and statutory audits.
4. Portfolio Monitoring & Reporting
· Renewal & Review: Identify expiring securities and manage renewal processes for facility agreements.
· MIS Reporting: Prepare documentation status reports, pending item lists and exceptions reports for management.
Required Skills & Competencies
· Technical Knowledge: Deep understanding of CMA Data structure (Form1-4, balance sheet analysis & working capital cycle management.
· Excel Proficiency: Advanced proficiency in MS Excel for building financial models & financial projections.
· Banking Knowledge: Knowledge of credit products (Term loans, CC, Bank Guarantees) and documentation workflows.
· Analytical Skills: Strong ability to analyze financial data to assess risk.
· Attention to Details: High accuracy in legal document drafting & vetting.
· Compliance Awareness: Strong knowledge of RBI regulations.
Qualifications & Experience
· Education: Bachelor’s Degree in Finance/Accounting (B.com Finance),
CA, CMA, CS Inter preferred.
· Experience: 2-4 years of experience in credit documentation,
Documentation processing or credit analysis in a bank or NBFC.
