Executive Assistant / Assistant Coordinator (US Healthcare & Pharmacy Operations)

Working Hours: Monday to Friday | 5:30 PM to 2:30 AM IST (US Time Zone)
About the Role
We are seeking a highly organized, proactive, and customer-focused Executive Assistant / Assistant Coordinator to support our US Healthcare and Pharmacy operations. The ideal candidate should possess excellent English communication skills, strong customer service abilities, and the ability to coordinate effectively with patients, healthcare providers, pharmacies, and internal teams.
Candidates with experience in the US Pharmacy or Healthcare industry, or qualified pharmacists from India, are strongly encouraged to apply.
Key Responsibilities
- Provide administrative and coordination support to leadership and operational teams.
- Handle inbound and outbound communication with patients, pharmacies, healthcare providers, and clients.
- Schedule appointments, coordinate follow-ups, and manage calendars.
- Ensure timely resolution of customer inquiries and service requests.
- Maintain accurate records, reports, and operational documentation.
- Assist with data entry, email management, and CRM updates.
- Coordinate with internal teams to ensure smooth workflow and service delivery.
- Support day-to-day operational activities and special projects as assigned.
- Maintain confidentiality and comply with healthcare-related processes and standards.
Required Qualifications
- Bachelor's Degree in any discipline.
- Excellent spoken and written English communication skills.
- Strong customer service and relationship management skills.
- Ability to communicate confidently with US-based clients and customers.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and Google Workspace.
- Strong organizational and multitasking abilities.
- Comfortable working independently in a remote environment.
- Willingness to work permanently in the US Time Zone (5:30 PM – 2:30 AM IST).
Preferred Qualifications
- Experience in US Healthcare, Medical Billing, Pharmacy Operations, Prior Authorization, Patient Support, or Healthcare Coordination.
- B.Pharm, M.Pharm, PharmD, or other Pharmacy-related qualifications.
- Experience working with US-based customers or healthcare providers.
- Familiarity with CRM systems, healthcare software, and documentation processes.
- Prior experience as an Executive Assistant, Virtual Assistant, Patient Coordinator, Healthcare Coordinator, or Operations Coordinator.
