About Cineloom Postworks / Studio Tunnel
Studio Tunnel is a colour grading studio. We work on advertising films, episodic series and feature films, partnering with directors, cinematographers, agencies and production houses to shape the final look of their work.
About the Role
We are looking for an organised, dependable Administrative Assistant to keep the day-to-day running of the studio smooth. This is the person who makes sure grading sessions are booked, calendars line up, invoices go out on time, and nothing slips through the cracks while the colourists focus on the work.
You will sit at the centre of the studio — coordinating between clients, colourists, vendors and our Chartered Accountant. It is a hands-on role with a lot of variety, and a strong starting point for anyone who wants to build a career in studio operations or post-production management.
Key Responsibilities
Scheduling & Bookings
- Manage studio and colourist calendars; schedule grading sessions, client review sessions and internal meetings.
- Take booking enquiries, confirm suite slots, and share booking confirmations and schedules with clients.
- Coordinate with colourists and producers so suite bookings, deliverables and availability never clash.
Invoicing & Payment Follow-ups
- Prepare and issue client invoices accurately and on time.
- Maintain an organised archive of all invoices, receipts and related paperwork.
- Track incoming and outgoing payments and follow up politely and persistently on pending dues.
- Share records, reconcile payment status and coordinate regularly with the studio's Chartered Accountant (CA).
Communication
- Answer and route incoming phone calls; take clear messages and follow up on them.
- Manage the studio inbox — draft and send professional emails to clients, vendors and partners.
- Receive, sort and distribute incoming mail and couriers.
Record Keeping & Reporting
- Enter and maintain data accurately across spreadsheets and studio systems.
- Keep digital and physical filing systems organised, named consistently and easy to search.
- Prepare simple reports on bookings, payments and studio activity as required.
Office Management
- Track and order studio and office supplies before they run out.
- Greet and assist visitors, clients and crew, and keep common areas presentable.
- Support the team with ad-hoc administrative and coordination tasks.
What We're Looking For
- Organisation — Ability to juggle several tasks, deadlines and requests at once without losing track of any of them.
- Computer skills — Comfortable with Microsoft Office (Word, Excel, Outlook) and Google Workspace (Docs, Sheets, Gmail, Calendar, Drive).
- Communication — Speaks and writes clearly, politely and professionally with clients, vendors and the team.
- Attention to detail — Careful with numbers, dates, names and filing — small errors in invoices and bookings cause big problems.
- Reliability — Follows up without being chased, and flags issues early.
- Discretion — Handles client information, payment details and studio records with discretion.
Nice to Have
- Prior internship or work experience in a post-production studio, agency or production house.
- Familiarity with invoicing or accounting tools (Tally, Zoho Books, QuickBooks or similar).
- Basic understanding of GST, TDS or invoicing compliance.
- Interest in film, advertising or post-production — you don't need technical grading knowledge, just curiosity.
Qualifications
- Graduate in any discipline (commerce, business administration or a related field is a plus).
- 0–2 years of experience; freshers with strong organisational skills are encouraged to apply.
- Fluent written and spoken English.
