Role Overview
The Personal Secretary will provide comprehensive administrative and personal support to Ashana, ensuring efficient management of daily schedules, communications, and confidential matters. The ideal candidate is highly organized, proactive, discreet, and capable of handling multiple responsibilities with professionalism.
Key Responsibilities
- Manage and maintain Ashana's calendar, appointments, and meetings.
- Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries.
- Screen and manage phone calls, emails, and other correspondence.
- Prepare meeting agendas, take minutes, and follow up on action items.
- Organize and maintain digital and physical records and documents.
- Handle confidential information with the highest level of discretion.
- Coordinate with internal teams, clients, vendors, and external stakeholders.
- Assist with personal errands and administrative tasks as required.
- Track important deadlines, commitments, and reminders.
- Prepare presentations, reports, and other documents as needed.
- Support event planning and meeting logistics.
- Manage office supplies and coordinate with service providers when required.
Required Qualifications
- Bachelor's degree or equivalent experience.
- 2–5 years of experience as a Personal Secretary, Executive Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong organizational and time-management abilities.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Ability to prioritize tasks and work independently.
- High level of integrity and confidentiality.
- Professional appearance and demeanor.
