Job Summary
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and executive support to the Managing Director/Director. The ideal candidate will manage schedules, coordinate meetings, handle confidential information, facilitate communication, and ensure the smooth day-to-day functioning of the executive office.
Key Responsibilities
- Manage the executive's calendar, appointments, meetings, and travel arrangements.
- Coordinate internal and external meetings, prepare agendas, and record meeting minutes.
- Draft, review, and manage emails, letters, reports, presentations, and other business documents.
- Screen calls, respond to correspondence, and prioritize communications on behalf of the executive.
- Maintain confidential files, records, and sensitive business information.
- Coordinate with internal departments and external stakeholders to ensure timely execution of tasks.
- Track action items and follow up with teams to ensure deadlines are met.
- Arrange travel bookings and accommodation and prepare travel itineraries.
- Organize company events, client meetings, and executive visits.
- Prepare reports, presentations, and dashboards using Microsoft Office tools.
- Handle expense reports, reimbursements, and other administrative documentation.
- Support HR and administration activities whenever required.
- Perform any other duties assigned by the management.
Required Qualifications
- Bachelor's degree in business administration, management, commerce, or a related field.
- MBA or relevant certification will be an added advantage.
Experience
- 2–5 years of experience as an executive assistant, personal assistant, or administrative executive.
- Experience in the financial services, stock broking, banking, or corporate sector is preferred.
