SUMMARY OF POSITION:
We are looking for an experienced full-time Proposal and Marketing Coordinator (PC) in San Diego to grow with our firm, leading the development of high-quality proposals and supporting firmwide marketing initiatives. This position will support the Marketing department, Principals, and Studio Leaders. The PC will work in close collaboration with our Director of Business Development and other PC’s to ensure consistency and quality of marketing efforts.
The ideal candidate will bring a strong level of written and graphic skills, strong working knowledge with Adobe Creative Suite (with an emphasis on InDesign), insight and passion for project pursuits and marketing of architectural services.
The PC is primarily responsible for leading the development of proposals (RFPs, RFQs, and similar) and supporting firmwide marketing initiatives, including event coordination, content creation, and brand management.
RESPONSIBILITIES:
- Lead and assist in the creation and production of proposals, statements of qualifications, presentations, brochures, and additional marketing materials primarily using Adobe InDesign, along with other programs (primarily within the Adobe Creative Cloud Suite). (Estimated to be 80% of time)
- Composing, editing, and maintenance of marketing collateral including cover letters, project descriptions, imagery, and data, , quarterly marketing reports, social media and brand management.
- Assist Studio Leaders in seeking out and tracking upcoming projects for new business opportunities: Add and update leads in Ajera, OneNote, CRM software or equivalent database.
- Assist in coordinating internal meetings and external marketing events.
- Attend weekly internal marketing and business development meetings and assist with follow-ups.
- Assist Studio Leaders / Director of Business Development with content creation and implementation on website and social media platforms (LinkedIn, Instagram, Blog).
- Copywriting for quarterly marketing reports and coordination of all other quarterly reports (Design, Operations, Finance)
- Develop compelling “storytelling” content for award submittals, digital and print articles, presentations and interviews, etc.
Act as liaison with media contacts, photographers, and subconsultant firms.
- Updating budget in Excel and tracking of strategic marketing goals based on Strategic Marketing Plan prepared by Director of BD
- Support updates to Strategic Marketing Plan prepared by Director of BD.
QUALIFICATIONS:
- Fluent in Adobe Creative Suite (InDesign, Illustrator, and Photoshop) with a strong eye for graphic design.
- Proficient in Microsoft Office (Word, Excel, OneNote, SharePoint Lists, and PowerPoint), and data entry/management.
- 2-4 years of related professional experience (Experience within the AEC industry with RFQ/P process a plus).
- Bachelor’s degree in architecture, graphic design, marketing, or communications is preferred (or equivalent work experience).
- Creative background with a passion for modern style, clean aesthetic, and latest design trends.
- Ability to work well within a team of architects and industry professionals.
- Experienced with social media and website content creation, development and maintenance.
- Comfortable working with a dynamic team. Ideal candidate possesses strong communication skills, responsive manner, highly-organized, detail-oriented, collaborative, and a problem-solver.
- Ability to work independently in a fast-paced environment. Candidates should be capable of overseeing and prioritizing multiple proposals with sometimes conflicting and overlapping deadlines.

Our unique office schedule of 7:30am to 5:30pm Monday to Thursday allows you to enjoy longer weekends, as the office closes at 11:30am every Friday.
