We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide comprehensive support to the Director. The ideal candidate will act as the central point of coordination between the Director and internal/external teams, ensuring efficient communication, timely follow-ups, and seamless execution of day-to-day business operations.
This role requires exceptional organisational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities Executive Support
- Manage the Director's calendar, appointments, meetings, and travel schedules.
- Prepare meeting agendas, presentations, reports, and correspondence.
- Screen calls, emails, and other communications, ensuring timely responses and prioritisation.
- Maintain confidential records and handle sensitive information with complete discretion.
- Manage recurring review schedules and ensure timely reminders are sent.
- Compiling and maintaining data and reports required for management review and decisionmaking.
- Ensure important documents, project information, and records are accurate, updated, and easily accessible.
Team Coordination & Follow-ups
- Coordinate with internal departments and external stakeholders on behalf of the Director.
- Track assignments delegated by the Director and ensure timely completion.
- Follow up with team members on pending tasks and provide regular status updates.
- Maintain action trackers and ensure accountability across teams.
Administrative Responsibilities
- Draft professional emails, letters, and other business correspondence.
- Maintain records of approvals, contracts, and official documents.
- Coordinate with vendors, consultants, and service providers as required.
- Perform general administrative duties.
Skills & Qualifications
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
- 3–6 years of experience as an Executive Assistant, Administrative Assistant, or Project Coordinator.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to prioritise tasks and work independently with minimal supervision.
- High level of professionalism and confidentiality.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
- Experience using project tracking tools, task management software, or dashboards is an advantage.
Pay: ₹60,000.00 - ₹80,000.00 per month
