Job Description – Support Engineer (UAE Operations)
Position Summary
The Support Engineer will assist the Operations and Commercial teams in the end-to-end execution of procurement and tendering activities. The role involves preparing quotations and bids, coordinating with suppliers and clients, managing order follow-ups and documentation, and ensuring timely delivery and compliance with project requirements.
This position requires strong coordination skills, technical understanding of engineering materials and systems, and the ability to support commercial, technical, and logistical functions efficiently.

Key Responsibilities
1. Procurement & Sourcing Support
- Coordinate with local and international suppliers for material inquiries, quotations, and technical clarifications.
- Prepare and issue RFQs (Request for Quotation) to vendors based on project or client requirements.
- Evaluate supplier quotations for compliance with specifications, pricing, and delivery terms.
- Maintain vendor communication records and ensure timely follow-ups for quotations and deliveries.
- Assist in preparing comparative statements (technical and commercial) for management review.
2. Tendering & Bid Preparation
- Support the preparation of technical and commercial proposals for tenders and client RFQs.
- Review tender documents, specifications, and BOQs to ensure proper understanding of requirements.
- Coordinate with manufacturers and principal partners to obtain valid offers and supporting documents.
- Prepare bid summaries, compliance checklists, and submission packages as per client templates and deadlines.
- Ensure proper documentation, formatting, and archiving of submitted tenders and proposals.
3. Quotation & Bid Management
- Prepare professional and accurate quotations for client purchase requests.
- Ensure that pricing, delivery terms, and technical details are correctly reflected in the quotations.
- Update and maintain quotation registers, bid logs, and client correspondence trackers.
- Coordinate with the sales and project teams for pricing strategies and bid follow-ups.
- Support in revising offers or clarifications requested by clients during the evaluation phase.
4. Order Expedition & Coordination
- Follow up with suppliers and logistics teams to ensure timely delivery of ordered materials.
- Track purchase orders, shipment schedules, and documentation status.
- Communicate proactively with clients on delivery updates, delays, or changes.
- Coordinate with warehouse/logistics for receiving inspection, documentation, and dispatch activities.
- Maintain order tracking reports and escalate critical delays to management.
5. Documentation & Compliance
- Maintain all records related to procurement, quotations, and project documentation in organized folders.
- Ensure all vendor quotations, POs, and client communications are properly filed for audit/reference.
- Support the preparation of project submittals, compliance sheets, and technical datasheets when required.
- Adhere to internal quality and document control procedures in coordination with QA/QC and Admin teams.
6. Communication & Coordination
- Liaise between clients, suppliers, and internal departments for seamless information flow.
- Support technical clarifications with clients and principal OEMs during project or bid execution.
- Participate in internal coordination meetings and update progress trackers regularly.
- Assist in preparing management reports and procurement dashboards.
Qualifications & Experience
- Bachelor’s Degree in Engineering (Electrical, Mechanical or related field).
- 2–5 years of experience in procurement, tendering, or technical sales support — preferably within the oil & gas, industrial, or engineering sectors.
- Good understanding of procurement processes, tendering workflow, and bid documentation.
- Proficiency in MS Office (Excel, Word, PowerPoint) and ERP/CRM tools.
- Familiarity with ADNOC / EPC tendering procedures is an added advantage.
- Strong written and verbal communication skills in English.
- Ability to multitask, prioritize, and meet tight deadlines.
