Position: Service Coordinator
Job Purpose
The Service Coordinator is responsible for coordinating preventive maintenance (PPM) and breakdown service activities, ensuring timely service delivery, maintaining accurate records, and acting as the communication link between customers, field technicians, supervisors, and internal departments.
Key Roles & Responsibilities
1. Service Ticket Management
- Create Preventive Planned Maintenance (PPM) and Breakdown service tickets on the service portal.
- Assign service tickets to the respective field technicians based on site requirements and supervisor inputs.
- Monitor all open tickets and ensure their timely completion and closure within the defined service timelines.
- Ensure every closed ticket is supported by a digitally submitted service report.
2. PPM Planning & Scheduling
- Prepare and maintain the PPM schedule as per the due dates.
- Coordinate with supervisors and technicians to ensure PPM services are completed on time.
- Follow up on pending PPM activities and update customers regarding scheduled visits.
3. Service Records & Documentation
- Maintain an updated tracker for all PPM and Breakdown tickets, including:
- Ticket number
- Date & time of ticket creation
- Date & time of closure
- Technician assigned
- Service status
- Remarks
- Ensure all service records are accurate and updated on a daily basis.
4. Technician Coordination
- Coordinate with site supervisors for technician deployment based on site requirements and complaint priority.
- Maintain the daily attendance records of all service technicians.
- Follow up with technicians for timely submission of service reports and supporting documents.
5. Material & Spare Parts Management
- Maintain a daily material movement register for spare parts issued and utilized at customer sites.
- Ensure faulty spare parts are returned to the office before service tickets are closed.
- Coordinate with technicians and stores for proper tracking of spare movement.
6. Voucher Management
- Collect, verify, and maintain technicians' expense vouchers.
- Ensure timely submission of verified vouchers to the Accounts Department.
- Maintain a voucher tracking sheet for record and reconciliation purposes.
7. Customer Coordination
- Communicate with customers through email and phone regarding:
- PPM service schedules
- Breakdown complaint status
- Service progress and closure updates
- Ensure customers receive timely updates and maintain a high level of service satisfaction.
Pay: ₹25,000.00 - ₹30,000.00 per month
