Job Purpose
To manage and oversee the complete procurement function for residential construction projects, ensuring the timely availability of quality materials, equipment, and services at competitive prices. The role is responsible for vendor development, negotiation, purchase planning, cost optimization, inventory coordination, and ensuring uninterrupted material supply to projects.
Key Responsibilities
1. Procurement & Purchase Management
- Manage end-to-end procurement activities for ongoing and upcoming residential projects.
- Plan and procure construction materials based on project requirements, approved BOQs, specifications, and schedules.
- Ensure timely availability of materials at project sites without affecting construction progress.
- Review Purchase Requisitions (PRs), Material Indents, and Purchase Orders (POs).
- Ensure purchases are made as per approved specifications, budgets, and company procurement procedures.
2. Construction Material Procurement
Manage procurement of major construction and finishing materials including:
- Cement, steel, and concrete-related materials
- Plumbing materials and sanitaryware
- Electrical materials and equipment
- Tiles, marble, granite, and flooring materials
- Doors, windows, and hardware
- Paints and waterproofing materials
- CP & sanitary fittings
- MEP materials
- Fire-fighting materials
- Elevators and other project equipment
- Landscaping and external development materials
- General consumables and site requirements
3. Vendor Management
- Identify, evaluate, empanel, and develop reliable vendors and suppliers.
- Maintain an updated vendor database and approved vendor list.
- Obtain and evaluate quotations from multiple suppliers.
- Monitor vendor performance in terms of price, quality, delivery, and service.
- Develop alternate sources for critical materials to minimize supply risks.
- Build long-term relationships with strategic suppliers.
4. Negotiation & Cost Optimization
- Negotiate prices, payment terms, credit periods, delivery schedules, and other commercial conditions.
- Conduct market surveys to benchmark material prices.
- Prepare Comparative Statements (CS) and recommend suitable vendors.
- Identify cost-saving and value-engineering opportunities.
- Ensure procurement is within approved project budgets.
- Monitor price fluctuations and advise management on major market changes.
5. Purchase Order & Contract Management
- Prepare and issue Purchase Orders in accordance with approved requirements.
- Ensure PO terms and conditions clearly specify quantity, quality, rates, delivery, payment terms, warranty, and penalties where applicable.
- Monitor open POs and ensure timely closure.
- Coordinate with Contracts and Finance teams on commercial and contractual matters.
6. Project & Site Coordination
- Coordinate closely with Project Managers, Planning, Stores, Contracts, QS, Engineering, and Finance teams.
- Understand project schedules and plan procurement accordingly.
- Monitor critical material requirements and ensure timely delivery.
- Resolve supply-related issues and escalate critical delays to management.
- Conduct regular coordination meetings with project teams and key vendors.
7. Quality & Material Compliance
- Ensure materials procured comply with approved technical specifications and quality standards.
- Coordinate with QA/QC and Engineering teams for technical approval of materials.
- Ensure samples and mock-ups are approved before bulk procurement wherever required.
- Take corrective action against quality failures and non-conforming materials.
8. Logistics & Delivery Management
- Monitor supplier dispatches and delivery schedules.
- Coordinate with site Stores for receipt and inspection of materials.
- Track material deliveries against project requirements.
- Minimize delays, excess procurement, and material shortages.
- Ensure proper documentation for material receipt and invoice processing.
9. Inventory & Stock Coordination
- Coordinate with Stores to monitor stock levels and material consumption.
- Establish minimum and maximum stock levels for critical materials.
- Avoid overstocking, shortages, and unnecessary inventory carrying costs.
- Review slow-moving and excess materials and recommend corrective action.
10. Procurement MIS & Reporting
Prepare and submit periodic procurement reports covering:
- Purchase requisition status
- Purchase order status
- Pending procurement
- Material delivery status
- Vendor-wise purchases
- Price comparison and savings
- Critical material status
- Outstanding POs
- Project-wise procurement expenditure
Qualifications
- Bachelor's Degree in Engineering, Supply Chain Management, Business Administration, Commerce, or a related discipline.
- MBA / PG Diploma in Supply Chain or Procurement will be an added advantage.
- 8–12 years of relevant experience in Purchase / Procurement.
- Strong experience in Real Estate / Construction procurement is preferred.

- Strong commercial and negotiation skills with proven cost-saving achievements.
- Ability to coordinate effectively with Project Heads, Contracts, QS, Stores, Finance, and Senior Management.
- Should be proactive in identifying procurement risks and alternate sources.
- Willingness to travel to project sites and supplier locations as required.
