We are looking for a highly organised and proactive Executive Assistant to support with day-to-day coordination, follow-ups, administration, communication, and task management.
This role requires someone who is exceptionally strong at following up, keeping track of multiple tasks, coordinating with people across the organisation, and ensuring work gets completed on time. The ideal candidate should be reliable, honest, detail-oriented, and comfortable taking ownership of responsibilities.
Key Responsibilities
- Provide day-to-day administrative and coordination support to the Managing Director.
- Maintain and manage daily follow-up lists, ensuring pending tasks are tracked and closed.
- Follow up with employees, vendors, clients, and other stakeholders to ensure timely completion of tasks.
- Coordinate between different teams and ensure instructions are communicated and executed effectively.
- Maintain calendars, schedules, documents, records, and other administrative requirements.
- Handle correspondence, emails, letters, and other official communication.
- Prepare and maintain reports and data using MS Excel and Word.
- Conduct online research and gather information as required.
- Handle confidential information with discretion and integrity.
- Assist the Managing Director with both business-related and occasional personal administrative tasks.
- Proactively identify pending requirements and ensure timely follow-up without constant supervision.
- Support general office coordination and administrative activities when required.
Required Skills
- Excellent follow-up skills – this is the most important requirement.
- Strong organisational and task-management skills.
- Good communication and coordination abilities.
- Good command of spoken and written English.
- Working knowledge of MS Office, especially Excel and Word.
- Knowledge of Excel functions such as Pivot Tables, VLOOKUP/HLOOKUP, and linking sheets is preferred.
- Good internet/Google search skills.
- Ability to handle multiple tasks and changing priorities.
- Strong interpersonal skills and the ability to coordinate with senior employees and different teams.
- Honest, reliable, proactive, and responsible approach to work.
Experience & Qualification
- 3–5 years of experience as an Executive Assistant, Personal Assistant, Secretary, Office Coordinator, or in a similar administrative/coordination role.
- Candidates with experience supporting a senior executive/MD will be preferred.
- Graduate qualification; candidates with a secretarial/administrative background are preferred.
Working Hours: 9:30 AM–6:30 PM, Monday to Saturday
Pay: ₹15,000.00 - ₹35,000.00 per month
Work Location: In person
