Job Description
Position: Project Coordinator (India)
Organization: Poland–India Chamber of Cooperation (PICC) Location: Thane, Mumbai, India
Reporting To: Vice President, PICC
1. Role Overview
The Project Coordinator will play a central role in supporting and executing the Chamber’s India operations across membership growth, international delegations, business projects, and stakeholder coordination.
This is a multi-functional role requiring strong coordination, communication, and execution capabilities to support cross-border initiatives between India and Poland.
2. Key Responsibilities
A. Membership & Community Development
- Build and maintain a structured database of potential members (companies, institutions, associations)
- Support outreach campaigns for membership acquisition (calls, emails, follow-ups)
- Coordinate onboarding of new members, including documentation and communication
- Maintain and update membership records, pipeline, and engagement status
- Assist in execution of membership benefits (introductions, access, event invitations)
- Support preparation of membership materials, presentations, and communication
B. Business Projects & Deal Support
- Coordinate ongoing India–Poland business engagements across sectors (e.g., manpower, trade, technology)
- Track progress of active deals and maintain structured updates
- Support preparation of proposals, summaries, and client communication
- Conduct basic research on companies, sectors, and opportunities
- Follow up with stakeholders to ensure timely progress and closure
- Maintain documentation and reporting for all ongoing projects
C. . Partnerships & Ecosystem Development (Priority Area)
- Build and maintain relationships with chambers of commerce, industry associations, and institutional partners in India
- Coordinate ongoing engagement with partner organizations to identify collaboration opportunities
- Develop and manage a structured events calendar, including:
o PICC-hosted events (India & Poland)
o Partner and affiliated events relevant to members
- Ensure timely publication and communication of events to members and stakeholders
- Support co-hosting and collaboration initiatives with partner chambers and associations
- Maintain a database of partner organizations and track engagement activities
- Identify opportunities to expand PICC’s network through strategic partnerships and alliances
D. Delegation & International Engagements
- Manage expressions of interest for Indian business delegations to Poland
- Coordinate with participating companies to understand their objectives and requirements
- Support planning of B2B and B2G meetings
- Assist in travel, visa coordination, and documentation tracking
- Maintain delegation database and communication flow
- Support preparation of delegation briefs, schedules, and reports
E. Event & Program Coordination
- Support planning and execution of PICC events in India (conferences, forums, roundtables)
- Coordinate with speakers, partners, and attendees
- Assist in managing registrations, guest lists, and follow-ups
- Support on-ground execution and logistics where required
- Coordinate post-event communication, reporting, and outreach
F. Stakeholder & Relationship Management
- Act as a coordination point for Indian stakeholders including companies, institutions, and partners
- Maintain structured communication and follow-ups with all key contacts
- Support relationship-building efforts through timely engagement and updates
- Assist in coordinating with government bodies, associations, and partner organizations
G. CRM, Data & Reporting
- Maintain structured databases across:
o Membership pipeline
o Delegation participants
o Business deals
o Partner organizations
- Track key metrics and progress across projects
- Prepare weekly updates and status reports for leadership
- Ensure all data is organized, updated, and easily accessible
H. Communication & Coordination
- Draft professional emails, summaries, and communication materials
- Coordinate internal meetings and ensure action tracking
- Support preparation of presentations, documents, and reports
- Ensure timely follow-ups and closure of assigned tasks
3. Key Skills & Competencies
- Strong organizational and coordination skills
- Excellent verbal and written communication
- Ability to manage multiple projects simultaneously
- Attention to detail and structured working approach
- Proactive and solution-oriented mindset
- Basic understanding of business, trade, or international relations (preferred)
- Proficiency in MS Office (Excel, PowerPoint, Word)
4. Work Structure & Expectations
- Regular coordination meetings (minimum twice weekly with leadership)

Qualification - Any degree (Need Project Experience)
Experience - 1 to 2 years (Freshers also can apply )
Working days : Monday to Saturday
Working time: 10a.m to 7p.m
