Office & Facility Operations
- Oversee daily office operations to maintain a clean, organized, and fully functional work environment.
- Manage inventory for office supplies, stationery, equipment, and pantry items; handle timely reordering and budget tracking.
- Serve as the main point of contact for building management, maintenance teams, security, and third-party vendors (cleaning, IT hardware support, catering).
- Ensure office policies, health and safety guidelines, and operational SOPs are routinely followed.
Meeting & Schedule Management
- Coordinate meeting logistics, including room bookings, audio-visual setup, materials preparation, and guest hospitality.
- Assist team leads and senior managers with calendar management, scheduling internal/external calls, and prioritizing appointments.
- Organize company events, team-building activities, and internal workshops.
Document & Data Management
- Maintain physical and digital filing systems, databases, and centralized document repositories with high accuracy and confidentiality.
- Track documents requiring formal review, signature, or stamp approvals.
- Draft basic internal communications, meeting minutes, routine reports, and business correspondence.
Travel & Logistics Coordination
- Arrange domestic and international travel logistics, including flights, hotel bookings, transportation, and visa processing.
- Prepare travel itineraries and coordinate expense claim documentation for traveling staff or executives.
HR & Financial Support (As Needed)
- Assist the HR team with onboarding logistics for new hires (access cards, workspace setup, welcome kits, document collection).
- Track basic attendance, leave records, or petty cash expenses as designated.
- Assist Finance with initial invoice logging, PO tracking, and vendor payment documentation.
Requirements & QualificationsEducation & Experience
- Education: Bachelor’s degree in Business Administration, Management, Communication, or a related field (or equivalent practical experience).
- Experience: 1–3 years of experience in administrative, office coordination, or secretarial roles. (Fresh graduates with relevant internship experience may be considered).
Core Skills & Competencies
- Technical Skills: Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) or Google Workspace (Docs, Sheets, Slides, Gmail). Familiarity with basic project management tools (Trello, Asana) or ERP/HR software is a plus.
- Organizational Ability: Strong task prioritization, multi-tasking skills, and acute attention to detail.
- Communication: Excellent verbal and written communication skills for interfacing with staff, external partners, and senior leaders.
- Problem-Solving: Proactive, resourceful, and capable of resolving minor office operational issues independently.
- Discretion: Ability to manage sensitive and confidential company or employee information professionally.
Pay: From ₹10,000.00 per month
