Operations Head – Roles & Responsibilities

Reports To: Director / CEO
Location: Cizzara Studios, Vadodara
1. Overall Studio Operations
- Oversee day-to-day operations of the studio.
- Ensure smooth execution of all departments including Production, Post Production, Creative, HR, Admin, Marketing, and Accounts.
- Develop and implement operational strategies to improve productivity and efficiency.
- Ensure every project is delivered on time without compromising quality.
2. Project Planning & Execution
- Plan production timelines from client onboarding to final delivery.
- Coordinate with Directors, Creative Head, DOP, Editors, Designers, and Production Managers.
- Allocate manpower and studio resources effectively.
- Monitor project progress and resolve operational bottlenecks.
3. Team Management
- Lead and supervise all department heads.
- Conduct daily operational meetings.
- Set departmental KPIs and monitor performance.
- Ensure accountability, discipline, and productivity across teams.
- Assist HR in manpower planning, recruitment, and employee performance reviews.
4. Production Management
- Oversee pre-production, production, and post-production workflows.
- Approve production schedules and shooting plans.
- Ensure availability of crew, equipment, locations, and logistics.
- Monitor shoot budgets and operational expenses.
- Resolve on-set operational challenges immediately.
5. Resource & Asset Management
- Manage studio equipment, cameras, lighting, editing systems, and production assets.
- Ensure proper maintenance and servicing of equipment.
- Maintain asset inventory and utilization records.
- Prevent misuse or loss of company assets.
6. Budget & Cost Control
- Monitor operational budgets across all projects.
- Optimize operational costs without affecting quality.
- Approve vendor quotations and purchase requirements.
- Track project profitability and resource utilization.
7. Vendor & Client Coordination
- Build and maintain relationships with vendors, freelancers, and production partners.
- Negotiate contracts and service agreements.
- Coordinate with clients regarding project timelines, deliverables, and operational updates.
- Ensure high levels of client satisfaction.
8. Process Development (SOPs)
- Develop and implement Standard Operating Procedures (SOPs).
- Standardize workflows across departments.
- Continuously improve operational processes.
- Ensure compliance with company policies and quality standards.
9. Quality Control
- Monitor quality at every stage of production.
- Ensure deliverables meet Cizzara Studios' creative standards.
- Conduct final operational review before project delivery.
- Reduce revisions through better planning and execution.
10. Department Coordination
Coordinate effectively with:
- Creative Department
- Production Team
- Editing & Post Production
- Marketing & Branding
- HR Department
- Finance & Accounts
- Administration
- Business Development Team
Ensure seamless communication and collaboration between all departments.
11. Reporting & Analytics
- Prepare daily, weekly, and monthly operational reports.
- Track project status, resource utilization, turnaround time, and budgets.
- Present performance reports to management.
- Recommend operational improvements based on data.
12. Compliance & Risk Management
- Ensure compliance with company policies and legal requirements.
- Monitor workplace safety during shoots and studio operations.
- Identify operational risks and implement preventive measures.
- Maintain confidentiality of company projects and client information.
13. Business Growth Support
- Support new business proposals and production planning.
- Assist management in scaling studio operations.
- Identify opportunities for automation and operational efficiency.
- Contribute to long-term operational strategy and expansion.
