Position Purpose
The TSM Program Coordinator serves as the vital operational engine and central
communication hub of the music school. This role is responsible for executing end-to-end
communication across all stakeholders, maintaining flawless academic data systems,
and ensuring total operational rigour on a day-to-day basis. The coordinator directly tracks
institutional milestones, supports leadership executing strategic frameworks, and ensures
no operational task falls through the cracks.
Key Responsibilities & Performance Pillars
1. 360-Degree Stakeholder Communication & Liaison
- Students & Parents: Act as the primary, high-responsiveness point of contact for
student cohorts and parents. Manage enquiries, issue formal academic updates,
handle grievances, and communicate critical curriculum expectations.
- Faculty & Teachers: Facilitate daily coordination with faculty regarding scheduling,
lecture deliveries, grading timelines, and pedagogy compliance.
- The Dean's & Assistant Dean’s Office: Maintain an active, fluid communication loop
with the Dean’s office. Directly assist the Assistant Dean's office by scheduling
reviews, preparing strategic briefs, and aligning departmental initiatives with
university-wide policies.
2. Project Management, Milestone Tracking & Accountability
- Task Tracking: Implement and manage tracking systems (e.g., Gantt charts and
project boards) to log, monitor, and enforce internal deadlines for the TSM team.
- Agenda & Action Logs: Attend critical planning meetings, accurately document
decision logs, assign clear ownership, and proactively follow up with team
members to ensure compliance.
- Executive Preparation: Prepare high-quality multimedia presentations, slide decks,
spreadsheets, and reporting materials for the Dean, Board, and internal academic
audits.
3. Data Management & Academic Infrastructure
- Data Stewardship: Act as the custodian for all TSM institutional data, including
student academic records, curriculum files, credit mapping spreadsheets, and
faculty hours.
- LMS Maintenance: Coordinate with internal tech teams and external partners to
oversee Learning Management System (LMS) data, student profiles, and course
materials
4. Daily Academic & Operational Rigor
- Schedule Enforcement: Supervise daily operations to ensure classes, juries, audits,
and performance showcases run precisely on time and up to university standards.
- Resource Alignment: Coordinate the physical and digital infrastructure needed for
classes, including music labs, studio spaces, and exam systems.
Required Skills & Qualifications
- Experience: 2–4 years of experience in academic operations, project management,
or high-level programme coordination (experience in premium higher education or
creative arts institutions is a major plus).
- Tools: Mastery of Microsoft Office Suite (Excel, PowerPoint, Word) and project
management tools (Asana, Trello, or Jira).
- Communication: Elite verbal and written communication skills; ability to remain
composed, authoritative, and empathetic when dealing with students and parents.
The ability to speak Marathi would be an asset in this position.
- Attributes: Highly organised, detail-orientated, and capable of operating under high
pressure with a strong commitment to academic rigour.
Pay: ₹50,000.00 - ₹70,000.00 per month
