Job Summary
We are looking for a detail-oriented and proactive Import Export Executive to manage end-to-end import and export operations. The ideal candidate will have hands-on experience in international trade documentation, customs procedures, DGFT compliance, logistics coordination, and shipment tracking. This role requires close coordination with internal teams and external stakeholders to ensure timely and compliant execution of all import and export activities.
Key Responsibilities
- Handle complete import and export documentation, including Commercial Invoice, Packing List, Dual NOC, High Seas Agreement, and other shipment-related documents.
- Coordinate with Customs House Agents (CHA), freight forwarders, shipping lines, transporters, banks, and customers to ensure smooth shipment execution.
- Arrange container bookings and monitor container placement, stuffing, customs clearance, and final delivery.
- Review and verify shipment documentation, including Bill of Entry, Shipping Bill, Bill of Lading drafts, and related documents.
- Prepare and arrange Certificates of Origin (COO), insurance documentation, and country-specific export documents.
- Coordinate with the Accounts team for customs duty payments, invoice verification, banking documentation, and Bank Realisation Certificate (BRC) generation.
- Apply for, monitor, and maintain Advance Authorisations (Advance Licence), track export obligations, ensure correct licence declarations in customs documents, and complete licence closure upon fulfilment.
- Monitor import and export shipments daily, track EGM status through ICEGATE, and resolve shipment or documentation-related issues.
- Maintain accurate records and filing of all import, export, and Advance Licence documentation.
- Work closely with Purchase, Production, Warehouse, Logistics, and Management teams to ensure seamless shipment execution.
- Obtain freight and CHA quotations, prepare shipment status reports, and support other import, export, and logistics activities as assigned.
Requirements
- Bachelor's degree in Commerce, Business Administration, Supply Chain, Logistics, or a related field.
- 2–5 years of experience in import/export operations, international logistics, or EXIM documentation.
- Strong knowledge of DGFT procedures, customs regulations, ICEGATE, Advance Authorisation, and export/import documentation.
- Experience coordinating with CHAs, freight forwarders, shipping lines, banks, and government authorities.
- Good understanding of INCOTERMS, international shipping processes, and trade compliance.
- Proficiency in Microsoft Excel and ERP systems.
- Excellent communication, coordination, and problem-solving skills.
- Ability to manage multiple shipments simultaneously while meeting deadlines.
Preferred Skills
- Experience in manufacturing or export-oriented industries.
- Familiarity with banking and export incentive documentation.
- Strong organizational skills with high attention to detail.
