A. Hostel Operations
- Supervise the day-to-day functioning of the girls' hostel.
- Ensure proper allocation and utilisation of hostel rooms and facilities.
- Maintain updated records of hostel residents, room allotment, admissions, exits, and vacancies.
- Monitor compliance with hostel rules, timings, and procedures.
- Ensure smooth functioning of common areas, dining facilities, recreation areas, study areas, and other hostel amenities.
- Coordinate with the college administration regarding hostel-related requirements.
B. Student Safety and Security
- Maintain a safe and secure environment for all hostel residents.
- Monitor entry and exit of students and visitors in accordance with approved hostel procedures.
- Ensure that unauthorised persons do not enter the hostel premises.
- Coordinate with security personnel regarding access control and security arrangements.
- Conduct or coordinate regular hostel rounds and identify potential safety concerns.
- Immediately report serious incidents, emergencies, security breaches, or safety risks to the appropriate authority.
- Ensure that emergency contact information for students is readily available.
- Support emergency evacuation and disaster-management procedures.
C. Hostel Discipline
- Ensure students follow prescribed hostel rules and regulations.
- Address routine disciplinary issues fairly, professionally, and confidentially.
- Maintain records of significant disciplinary incidents.
- Report serious or repeated violations to the appropriate college authority.
- Ensure that disciplinary measures are implemented only in accordance with institutional policies.
- Promote a respectful, inclusive, and harassment-free hostel environment.
D. Facilities and Maintenance
- Regularly inspect hostel rooms, corridors, bathrooms, common areas, electrical installations, water supply, and other facilities.
- Report maintenance requirements promptly and coordinate with the engineering/maintenance team.
- Follow up on repair and maintenance requests until completion.
- Monitor cleanliness and sanitation standards throughout the hostel.
- Ensure adequate lighting, ventilation, water supply, sanitation, and basic amenities.
- Report major infrastructure or safety deficiencies immediately to management.
E. Housekeeping and Hygiene
- Supervise housekeeping services and ensure proper cleaning schedules.
- Monitor cleanliness of rooms, bathrooms, corridors, staircases, dining areas, and common spaces.
- Ensure proper waste collection and disposal.
- Monitor pest-control and periodic deep-cleaning activities.
- Maintain appropriate hygiene standards in coordination with housekeeping and facility teams.
F. Food and Dining Facilities
- Monitor the general functioning of hostel dining/mess facilities.
- Coordinate with the mess contractor or catering team regarding service-related issues.
- Monitor cleanliness and hygiene in dining and food-service areas.
- Record and communicate student concerns regarding food quality, menu, timing, and service.
- Escalate serious food-safety or hygiene concerns immediately.
G. Student Welfare
- Maintain a professional and approachable relationship with hostel residents.
- Listen to student concerns and facilitate appropriate solutions.
- Monitor general student welfare and identify issues requiring administrative attention.
- Coordinate with college authorities when students require institutional support.
- Assist students during emergencies or other urgent situations.
- Maintain appropriate confidentiality when dealing with sensitive student matters.
H. Visitor and Leave Management
- Maintain appropriate records of visitors entering the hostel.
- Ensure visitors comply with hostel visiting hours and identification requirements.
- Monitor student leave/outpass procedures according to institutional policy.
- Maintain records of authorised overnight leave and student movements where required.
- Inform appropriate authorities or parents/guardians when required under institutional procedures.
I. Emergency Management
- Act as the first administrative point of contact for hostel emergencies.
- Coordinate immediate assistance during fire, medical emergencies, accidents, security incidents, or other emergencies.
- Contact security, medical services, emergency response teams, or college authorities as appropriate.
- Ensure emergency exits and evacuation routes remain accessible.
- Participate in periodic emergency preparedness drills.
J. Records and Documentation
Maintain accurate and confidential records relating to:
- Hostel residents and room allotment
- Student attendance/movement, where applicable
- Leave and outpass records
- Visitor records
- Complaints and grievances
- Maintenance requests
- Disciplinary incidents
- Emergency/incident reports
- Hostel inspections
- Inventory and assets
- Housekeeping and sanitation activities
K. Complaints and Grievance Handling
- Receive and address routine hostel-related complaints from students.
- Maintain a complaint/maintenance register.
- Coordinate with relevant departments for timely resolution.
- Escalate unresolved or serious complaints to the appropriate authority.
- Ensure that students are treated respectfully and fairly while handling grievances.
L. Coordination and Reporting
- Coordinate regularly with the Administrative Officer, Dean, Hostel Committee, security, maintenance, housekeeping, and other departments.
- Submit periodic reports on hostel operations, maintenance, safety, discipline, and student concerns.
- Immediately escalate serious safety, security, medical, disciplinary, or infrastructure issues.
- Attend hostel-related meetings and implement approved decisions.
