Job Summary
We are seeking a detail-oriented and patient-focused Virtual Medical Assistant to support healthcare providers, clinics, and medical practices across the United States. The ideal candidate will assist with administrative, patient coordination, and clinical support tasks while ensuring compliance with HIPAA regulations and healthcare industry standards.
Key ResponsibilitiesPatient Communication & Scheduling
- Answer inbound and outbound patient calls professionally.
- Schedule, reschedule, and confirm patient appointments.
- Manage provider calendars and coordinate patient visits.
- Handle patient inquiries regarding appointments, referrals, and general practice information.
- Send appointment reminders via phone, email, or SMS.
Medical Records & Documentation
- Maintain and update Electronic Health Records (EHR/EMR) accurately.
- Review patient demographics and insurance information.
- Upload, organize, and manage medical documents.
- Assist with medical chart preparation before patient visits.
- Document patient interactions and provider notes as required.
Insurance & Authorization Support
- Verify patient insurance eligibility and benefits.
- Assist with prior authorization requests and follow-ups.
- Coordinate referrals with specialists and healthcare facilities.
- Support claims and billing-related administrative tasks.
Clinical Administrative Support
- Assist providers with medical scribing and documentation.
- Process prescription refill requests according to clinic protocols.
- Follow up with patients regarding test results and care instructions.
- Coordinate laboratory, imaging, and specialist appointments.
Compliance & Quality
- Maintain strict confidentiality of patient information.
- Adhere to HIPAA and healthcare compliance requirements.
- Follow clinic workflows, policies, and quality standards.
- Ensure accurate and timely completion of assigned tasks.
Required Qualifications
- Bachelor's degree, Associate degree, or relevant healthcare certification preferred.
- Minimum 1–2 years of experience in a healthcare, medical office, or virtual assistant role.
- Strong understanding of US healthcare terminology and workflows.
- Experience with EHR/EMR systems (e.g., Epic, Athenahealth, eClinicalWorks, NextGen, Kareo, etc.).
- Knowledge of medical insurance verification and prior authorizations.
- Excellent verbal and written English communication skills.
- Strong organizational and multitasking abilities.
- Proficiency in Microsoft Office and Google Workspace.
Preferred Qualifications
- Experience supporting US-based physicians, clinics, or hospitals.
- Medical Scribe, Medical Assistant, or Healthcare Administration certification.
- Familiarity with CPT, ICD-10, and HCPCS coding concepts.
- Experience in specialties such as Primary Care, Internal Medicine, Family Medicine, Behavioral Health, or Cardiology.
