Job Summary
We are looking for a dedicated and responsible Purchase Manager to oversee procurement operations, vendor management, inventory coordination, and administrative support for organizational activities and community welfare programs. The candidate will be responsible for managing purchases, negotiating with suppliers, maintaining procurement records, ensuring timely availability of materials and supplies, coordinating with different departments, monitoring stock levels, handling purchase documentation, and ensuring smooth procurement and supply chain operations during regular and emergency requirements.
1. Manage and supervise the complete procurement and purchasing operations of the organization.
2. Lead and manage the purchase department manpower for smooth functioning of procurement activities.
3. Prepare duty rosters, manage leaves, absenteeism, and weekly offs of departmental staff.
4. Ensure all vendors are properly approved by the competent authorities before any business transactions.
5. Ensure procurement policies are followed and avoid cash purchases unless specifically approved by management.
6. Obtain minimum three quotations from different vendors/suppliers for comparison before finalizing purchases.
7. Ensure no purchases are made without approved Purchase Orders (PO).
8. Verify proper purchase requisitions before generating Purchase Orders.
9. Finalize vendor selection based on quality, pricing, payment terms, reliability, and market reputation.
10. Develop and maintain healthy relationships with suppliers and negotiate favorable commercial terms.
11. Manage supplier contracts, agreements, and annual rate contracts as applicable.
12. Coordinate closely with accounts, stores, maintenance, operations, and other departments for procurement planning and execution.
13. Monitor budgeting, costing, and cost-saving opportunities through effective purchasing strategies.
14. Ensure compliance with Health & Safety policies, quality standards, and legal requirements related to procurement.
15. Supervise and manage all major procurement activities and project-based purchases.
16. Review and consolidate purchase requisitions and generate procurement plans accordingly.
17. Monitor inventory levels in coordination with stores and ensure timely replenishment of materials.
18. Stay updated on market trends, pricing fluctuations, and supplier developments.
19. Review deliveries against approved orders and ensure timely receipt of materials.
20. Track pending orders and coordinate with vendors for timely supply.
21. Handle issues related to short supply, delayed supply, excess supply, rejected materials, and damaged goods.
22. Ensure supplier invoices and supporting documents are submitted to the accounts department for timely payment processing.
23. Prepare and maintain procurement records, MIS reports, comparison statements, and vendor performance reports.
24. Manage procurement processes including tenders, quotations, and RFPs (Request for Proposals).
25. Maintain proper documentation, records, correspondence, and procurement files.
26. Arrange and attend vendor meetings, internal coordination meetings, and prepare MOMs (Minutes of Meeting) when required.
27. Assist management in policy implementation, audit requirements, and inventory control initiatives.
28. Ensure confidentiality and transparency in all procurement activities.
29. Support departments with urgent and operational purchase requirements whenever necessary.
Pay: ₹30,000.00 - ₹32,000.00 per month
