Executive Assistant to the Founders

Job Summary
Clinic Living Plus is looking for a highly organised, proactive, and sharp Executive Assistant to support the Founders in daily operations, coordination, scheduling, communication, and execution of key business priorities.
This role is ideal for someone who enjoys being at the centre of action, can manage multiple moving parts, and is comfortable working closely with leadership in a fast-growing healthcare and wellness company.
The Executive Assistant will act as the Founders’ right hand, ensuring that meetings, follow-ups, communication, documentation, team coordination, and daily priorities are handled smoothly and professionally.
Key Responsibilities: Founder Support & Calendar Management
- Manage the Founders’ calendars, appointments, meetings, calls, and daily schedules.
- Prioritise meetings and ensure the Founders are well-prepared with relevant notes, documents, and follow-ups.
- Coordinate internal and external meetings with doctors, team members, vendors, clients, and partners.
- Send timely reminders and ensure action items are completed.
Communication & Coordination
- Handle calls, emails, WhatsApp communication, and messages on behalf of the Founders when required.
- Draft professional emails, messages, reports, and meeting notes.
- Coordinate between departments including operations, marketing, doctors, nutritionists, finance, and admin.
- Follow up with team members to ensure tasks are completed on time.
Operations & Task Management
- Track ongoing projects, deadlines, and founder-level priorities.
- Maintain daily task lists and follow-up trackers.
- Assist in clinic operations, vendor coordination, purchase follow-ups, and administrative tasks.
- Support the execution of new initiatives, campaigns, events, workshops, and partnerships.
Documentation & Reporting
- Prepare meeting minutes, reports, presentations, SOPs, and internal documents.
- Maintain organised records of important documents, agreements, invoices, contacts, and communications.
- Help create simple dashboards or trackers for founder review.
Client & Partner Interaction
- Communicate professionally with high-value clients, corporate partners, doctors, vendors, and consultants.
- Coordinate appointments, follow-ups, and client-related communication when needed.
- Maintain confidentiality and professionalism at all times.
Personal Effectiveness
- Anticipate needs before being asked.
- Bring structure to fast-moving tasks.
- Follow through without repeated reminders.
- Protect the Founders’ time by filtering distractions and keeping priorities clear.
Requirements
- Bachelor’s degree in any field.
- Prior experience as an Executive Assistant, Founder’s Office Executive, Admin Executive, Operations Coordinator, or similar role.
- Excellent written and spoken English.
- Strong organisational and follow-up skills.
- Comfortable using Google Workspace, Microsoft Office, WhatsApp, calendars, spreadsheets, and basic task management tools.
- Ability to manage confidential information with maturity.
- Strong communication and interpersonal skills.
- Ability to multitask and work in a fast-paced environment.
- High ownership, reliability, and attention to detail.
Preferred Skills
- Experience working in healthcare, wellness, hospitality, startups, clinics, or service-based businesses.
- Good understanding of social media, marketing coordination, or client management.
- Comfortable creating simple reports, trackers, and presentations.
- Ability to coordinate with senior professionals and external partners.
