Site Administrator
Location (Narmadapuram, MP)
Job Summary
The Site Administrator is responsible for managing the overall administrative operations of the project site to ensure smooth and efficient project execution. The role includes office administration, documentation, procurement coordination, travel and accommodation arrangements, vendor coordination, statutory documentation support, reporting, asset management, and general site administration.
Key Roles & Responsibilities
Site Administration
- Manage the day-to-day administrative activities of the project site.
- Manage office stationery, consumables, and other administrative supplies.
Documentation & Record Management
- Maintain project files, registers, correspondence, and official records.
- Ensure proper filing, indexing, storage, and retrieval of documents.
- Control document revisions and maintain document registers.
Purchase & Vendor Coordination
- Obtain quotations and coordinate with vendors and suppliers.
- Maintain procurement records and vendor databases.
- Coordinate timely delivery of materials and office supplies.
Office & Facility Management
- Arrange hotel bookings, guest house accommodations, air/rail tickets, and local transportation.
- Draft Agreements with Vendors like room rents, AMC’s, local Purchase.
- Coordinate meetings, conferences, and visitor management.
- Manage courier services, postal correspondence, and dispatch records.
- Coordinate repair and maintenance of office equipment and facilities.
Reporting & MIS
- Prepare daily, weekly, and monthly administrative reports.
- Submit reports to the Project Manager and Head Office within defined timelines.
- Monitor administrative budgets and maintain expense records.
Legal & Compliance Documentation
- Maintain statutory records and project-related compliance documentation.
- Coordinate documentation required for government departments, clients, consultants, and contractors.
- Maintain licenses, insurance documents, permits, agreements, and project approvals.
Coordination & Support
- Coordinate with project engineers, procurement, finance, logistics, contractors, and vendors.
- Facilitate communication between the site office and the corporate office.
- Support project mobilization and demobilization activities.
- Handle general administrative duties assigned by the Project Manager.
Required Skills
- Excellent knowledge of MS Office (Excel, Word, PowerPoint, Outlook).
- Good understanding of office administration and procurement coordination.
- Basic knowledge of statutory and legal documentation related to construction projects.
- Ability to manage multiple tasks and meet deadlines.
Preferred Qualifications
- Bachelor's degree in Commerce, Business Administration, or a related discipline.
- 3–6 years of experience in site administration for Civil, Infrastructure, EPC, or Construction projects.
