Job Summary
Harshad Jeweltech Solutions LLP is looking for a responsible, organized, and proactive Assistant Admin Executive to support day-to-day office administration and operations. The candidate will be responsible for office coordination, vendor management, facility management, documentation, travel arrangements, and general administrative activities.
Key Responsibilities
- Assist in managing day-to-day office administration and ensure smooth office operations.
- Handle incoming calls, emails, correspondence, and routine office communication.
- Maintain office records, files, documents, and administrative databases.
- Coordinate with vendors, suppliers, housekeeping, maintenance, security, and other service providers.
- Manage office stationery, supplies, equipment, and general office inventory.
- Coordinate purchase requirements and follow up with vendors for timely delivery.
- Obtain quotations and maintain vendor quotations, invoices, bills, and related documents.
- Coordinate office repairs, maintenance, electrical, plumbing, and other facility-related requirements.
- Monitor office cleanliness, hygiene, and overall workplace upkeep.
- Assist in managing office assets and maintain proper records.
- Coordinate courier, dispatch, transportation, and other office-related services.
- Arrange hotel bookings, train tickets, and flight tickets for employees/management as per business requirements.
- Coordinate travel itineraries, transportation, and other travel-related arrangements as required.
- Arrange meetings, appointments, refreshments, and other office requirements.
- Prepare administrative reports, MIS, letters, notices, and other documents.
- Coordinate with Accounts and other departments for administrative requirements.
- Ensure timely follow-up on pending administrative tasks and vendor requirements.
- Maintain confidentiality of company information and documents.
- Perform other administrative duties assigned by the Admin Manager or Management.
Qualifications & Skills
- Graduate in any discipline.
- 2–4 years of relevant experience in Administration / Office Management.
- Good verbal and written communication skills.
- Good working knowledge of MS Office, especially MS Excel and Word.
- Strong coordination and follow-up skills.
- Experience in hotel, flight, and train booking and travel coordination.
- Good vendor-management and negotiation skills.
- Strong organizational and time-management abilities.
- Good documentation and record-keeping skills.
- Ability to multitask and work independently.
- Proactive, responsible, and problem-solving attitude.
Pay: ₹360,000.00 - ₹420,000.00 per year
