The Back Office Executive will support the sales team by managing customer inquiries, preparing quotations, handling order processing, coordinating with production and dispatch teams, and maintaining accurate sales records. The role requires strong organizational and communication skills and a basic understanding of industrial/electrical products.
Key Responsibilities:
- Prepare and send quotations to customers based on requirements.
- Maintain and update records of inquiries, quotations, and order follow-ups.
- Draft sales-related documents, including purchase orders, delivery challans, and invoices.
- Coordinate with the production and logistics departments for timely delivery of materials.
- Monitor the status of ongoing orders and communicate updates to customers.
- Handle incoming inquiries (calls, emails) from existing and potential customers.
- Provide product information, pricing, and delivery timelines.
- Follow up with clients for order confirmation, payments, and feedback.
- Support field sales staff with data, documentation, and lead tracking.
- Update CRM systems and Excel sheets with client and sales information.
- Maintain proper records of dispatched materials and pending orders.
- Prepare daily, weekly, and monthly sales reports.
Requirements:
- 2–4 years of experience in sales coordination, back office sales, or customer coordination.
- Strong knowledge of quotation preparation, order processing, and client follow-up.
- Good communication skills in English, Hindi, and Bengali preferred.
- Proficiency in MS Excel, Word, Data Management, Filing Documents, Email drafting.
- Strong coordination skills with multiple departments.
- Ability to work under pressure and meet deadlines.
- Good analytical and reporting skills.
- Smart, presentable, and professional behavior.
- Knowledge of industrial product sales coordination will be an added advantage.
Pay: ₹15,000.00 - ₹20,000.00 per month
