Job Description
The Executive – Administration is responsible for ensuring the smooth day-to-day administrative operations of the organization. The role includes attendance and leave management, housekeeping supervision, food and facility coordination, training support, and maintaining all administrative records and documents.
Key Responsibilities
1. Attendance & Leave Management
* Maintain daily employee attendance records.
* Monitor employee leave applications and leave balances.
* Prepare monthly attendance reports
2. Administration & Facility Management
* Ensure smooth functioning of office administration activities.
* Coordinate office maintenance and facility requirements.
* Maintain office assets and administrative records.
* Arrange and monitor office stationery and consumables.
3. Food Arrangement
* Coordinate daily employee lunch arrangements.
* Maintain employee meal subscription records.
4. Housekeeping Management
* Supervise housekeeping staff and ensure office cleanliness.
* Ensure washrooms, pantry, and common areas are maintained hygienically.
* Coordinate periodic deep cleaning and pest control activities.
* Maintain housekeeping checklists and records.
5. Document Management
* Maintain employee-related administrative documents.
* Organize and update training records, attendance records, and administrative files.
* Ensure proper filing of office documents in both physical and digital formats.
* Maintain confidentiality of company records.
* Maintain training attendance, feedback forms, and training records.
* Support internal and external training activities.
6. Vendor Coordination
* Coordinate with housekeeping, food, transport, stationery, and maintenance vendors.
* Follow up on service requests and ensure timely completion.
7. Compliance & Support
* Assist in implementing company administrative policies and procedures.
* Support HR and Administration in employee engagement activities and company events.
* Perform any other administrative duties assigned by the reporting manager.
Required Qualifications
* Bachelor’s Degree in any discipline.
* 5-6 years of experience in Administration/HR Administration.
* Proficiency in MS Office (Excel, Word, PowerPoint).
* Good communication and coordination skills.
* Strong organizational and record-keeping abilities.
