Job Summary:
The Senior Tender Executive will be responsible for overseeing the tendering process, preparing tender documentation, and ensuring compliance with e-procurement systems such as Government e-Marketplace (GEM) and other procurement platforms. The ideal candidate will possess a strong understanding of the tendering process, excellent documentation skills, and knowledge of current procurement practices.
Key Responsibilities:
1. Tender Process Management:
- Manage the end-to-end tendering process, ensuring all activities are conducted in a timely and efficient manner.
- Develop and implement tender strategies that align with business objectives.
2. Documentation Preparation:
- Prepare comprehensive tender documents, including bids, proposals, and supporting materials.
- Ensure all documentation meets the required standards and complies with legal and regulatory guidelines.
3. E-Procurement Systems:
- Utilize e-procurement platforms, including GEM and other relevant systems, for submitting tenders and managing procurement processes.
- Stay updated with the latest e-procurement technologies and practices to enhance operational efficiency.
4. Market Research:
- Conduct market research to identify potential opportunities and assess competition.
- Analyze current market trends and provide insights to inform tender strategies.
5. Stakeholder Collaboration:
- Liaise with internal departments (e.g., finance, legal, operations) to gather necessary information and resources for tender submission.
- Build and maintain relationships with suppliers, contractors, and stakeholders.
6. Compliance and Risk Management:
- Ensure compliance with organizational policies, legal regulations, and contractual obligations throughout the tendering process.
- Identify and manage risks associated with tender submissions and procurement activities.
7. Training and Mentorship:
- Mentor and train junior staff on tendering processes, documentation standards, and effective use of e-procurement systems.
- Develop training materials and conduct workshops to enhance team capabilities.
8. Reporting and Analysis:
- Prepare reports on tender submissions, outcomes, and market insights for management review.
- Analyze data to track performance metrics and identify areas for improvement in the tendering process.
Qualifications:
- Minimum of 3 years of experience in tendering, procurement, or a related field.
- In-depth knowledge of the tendering process and documentation requirements.
- Familiarity with e-procurement systems, particularly GEM and its functionalities.
- Strong analytical and problem-solving skills.
- Excellent written and verbal communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong attention to detail and organizational skills.
