Job Summary:
The Executive Assistant to the COO will provide high-level administrative support to the Chief Operating Officer and will be responsible for managing the COO's schedule, arranging meetings, drafting correspondence, and providing general administrative assistance. The successful candidate will have excellent organizational and communication skills, and the ability to work well under pressure.
Responsibilities:
Executive Support
- Manage the COO's calendar, appointments, and daily schedule.
- Prioritize meetings and ensure there are no scheduling conflicts.
- Draft emails, letters, presentations, and other business documents when required.
- Handle confidential information with professionalism and discretion.
Meeting Coordination
- Schedule internal and external meetings.
- Prepare meeting agendas and required documents.
- Record Minutes of Meeting (MoMs) and circulate them promptly.
- Track action items and follow up with respective teams until completion.
Coordination & Follow-ups
- Coordinate with departments such as Sales, Marketing, Finance, HR, Operations, Academics, and Legal on behalf of the COO.
- Follow up on pending tasks and ensure timely updates.
- Escalate delays or critical issues whenever required.
Reporting & Documentation
- Maintain reports, trackers, and executive dashboards.
- Compile weekly updates and status reports for the COO.
- Organize and maintain important records and documents.
Travel & Administration
- Arrange domestic and international travel, accommodation, and itineraries.
- Process travel expenses and reimbursements.
- Support the smooth functioning of the COO's office and assist with special projects whenever required.
Skills Required

- High level of professionalism and confidentiality.
- Proficiency in MS Office (Excel, Word, PowerPoint, Outlook) and Google Workspace.
- Strong attention to detail and problem-solving ability.
Preferred Experience
- 3–8 years of experience as an Executive Assistant or Executive Secretary supporting senior leadership.
- Experience working with CXOs such as COO, CEO, MD, or Directors will be preferred.
- Experience coordinating with multiple departments and managing executive calendars.

Pay: ₹30,000.00 - ₹55,000.00 per month
