Key Roles & Responsibilities of an Examination Coordinator
1. Planning & Scheduling
- Exam Timetable Management: Prepare and publish exam schedules in coordination with academic departments.
- Resource Allocation: Ensure venues, seating, and equipment are arranged in advance.
- Faculty Coordination: Work with faculty to finalize exam formats, papers, and evaluation methods.
2. Exam Administration
- Material Handling: Oversee secure receipt, storage, and distribution of question papers.
- Venue Setup: Ensure halls comply with seating, safety, and regulatory standards.
- Invigilator Management: Recruit, train, and supervise invigilators and support staff.
3. Compliance & Integrity
- Rule Enforcement: Ensure students follow exam regulations and prevent malpractice.
- Data Security: Maintain confidentiality of exam papers, student records, and results.
- Special Arrangements: Coordinate accommodations for students with disabilities or special needs.
4. Monitoring & Reporting
- Incident Management: Handle emergencies or disruptions during exams.
- Result Compilation: Verify marks, compile results, and ensure accuracy before release.
- MIS Reporting: Generate reports on exam performance, compliance, and trends for management.
5. Technology Integration
- Online Exam Platforms: Administer digital exams using tools like ExamSoft or LMS portals.
