To manage and control all store activities at the construction site, ensuring proper receipt, storage, issue and accounting of construction materials, tools and other items, along with proper handling and accounting of site petty cash.
Key Responsibilities
- Manage and supervise the overall day-to-day activities of the site store.
- Receive construction materials, tools, equipment and other items supplied to the project and verify the quantity and condition against Purchase Orders, Delivery Challans and other relevant documents.
- Prepare and maintain Goods Receipt Notes (GRN), Material Receipt Notes (MRN), stock registers and other store-related records.
- Ensure proper storage, identification, stacking and preservation of materials to prevent damage, deterioration, theft and wastage.
- Issue materials to the concerned departments, engineers, supervisors and subcontractors only against duly authorised Material Issue Requests / Indents.
- Maintain accurate records of all material receipts, issues, returns and transfers and ensure timely updating of stock records / ERP system.
- Monitor stock levels and inform the concerned officials regarding minimum stock levels, shortages and requirements for replenishment.
- Conduct periodic physical verification of materials and reconcile physical stock with stock registers and system records.
- Report stock shortages, excess stock, damaged materials, slow-moving items and discrepancies to the Project Manager / concerned authority.
- Maintain proper records of tools, plants and equipment issued to employees, supervisors and subcontractors and ensure their return and accountability.
- Coordinate with the Purchase, Accounts, Planning, Billing and Project teams regarding material receipts, stock availability and related documentation.
- Maintain records of material transfers between projects / sites and ensure proper approval and documentation for all transfers.
- Verify supplier delivery documents and forward the relevant documents to the concerned department for bill processing.
- Maintain records of scrap, surplus and rejected materials and arrange disposal / transfer only with proper approval from the competent authority.
- Handle site petty cash in accordance with the Company's approved procedures and authorised limits.
- Make petty cash payments only for duly authorised site expenses and ensure that proper bills, vouchers and supporting documents are obtained for every payment.
- Prepare petty cash vouchers, maintain the Petty Cash Register and record all receipts and payments accurately on a day-to-day basis.
- Maintain sufficient petty cash balance for approved site requirements and submit timely requests for replenishment.
- Reconcile the physical cash balance with the Petty Cash Register regularly and report any discrepancy immediately to the Project Manager and Accounts Department.
- Submit petty cash statements, vouchers, bills and supporting documents to the Accounts Department within the prescribed timelines.
- Ensure that petty cash is kept securely and is not used for personal, unauthorised or unapproved purposes.
- Assist the Accounts and Audit teams during verification of petty cash, stock records and supporting documents.
- Ensure compliance with the Company's Store, Purchase, Finance and Internal Control procedures.
- Maintain proper housekeeping, safety and security of the store premises and ensure compliance with site safety requirements.
- Prepare daily, weekly and monthly store reports, stock statements and other MIS reports as required by the management.
- Carry out any other store, material control, petty cash or project-related duties assigned by the Project Manager or Management from time to time.
Accountability
The Store Officer / Store Keeper shall be responsible for the proper custody, control and documentation of materials, tools and other items under his/her charge and for the accurate handling, accounting and reconciliation of petty cash entrusted to him/her.
