The Field Executive – Transport Operations is responsible for coordinating and monitoring transportation activities at loading and unloading points, ensuring smooth movement of vehicles, timely documentation, and effective communication between drivers, customers, transporters, and the Company's operations team. The role requires frequent field visits, prompt issue resolution, and maintaining high operational efficiency.
Key Roles & Responsibilities: Field Operations
- Visit loading and unloading locations as directed by the Company.
- Coordinate with plant staff, warehouse personnel, customers, and drivers to ensure smooth loading and unloading operations.
- Monitor vehicle arrival, loading, unloading, and dispatch activities.
- Minimize vehicle detention by proactively coordinating with all stakeholders.
- Assist in resolving operational issues at field locations.
Vehicle Coordination
- Guide drivers regarding loading/unloading procedures and required documentation.
- Track vehicle movement and provide regular status updates to the Operations Team.
- Ensure vehicles are dispatched on time after loading.
- Report vehicle breakdowns, accidents, route diversions, or delays immediately.
Documentation
- Collect and verify loading receipts (LR), Proof of Delivery (POD), delivery challans, gate passes, weighbridge slips, E-Way Bills, and other transport-related documents.
- Ensure all documents are complete, accurate, and submitted to the office within the prescribed timeline.
- Assist in obtaining customer acknowledgements and delivery confirmations.
Customer & Vendor Coordination
- Maintain professional relationships with customers, warehouse staff, plant officials, transport vendors, and drivers.
- Address operational concerns promptly and escalate unresolved issues to the reporting manager.
- Ensure timely communication between the field and office operations team.
Reporting
- Submit daily field visit reports to the reporting manager.
- Update vehicle loading, unloading, and transit status regularly.
- Report operational challenges, detention cases, shortages, damages, or discrepancies immediately.
- Maintain records of field activities and supporting documents.
Compliance
- Ensure compliance with company policies and operational procedures.
- Verify that vehicles carry all mandatory transport documents before dispatch.
- Promote safe working practices during field operations.
Other Responsibilities
- Support emergency operational requirements whenever required.
- Assist the Operations Team in achieving service and delivery commitments.
- Perform any additional field-related duties assigned by the Management.
Key Performance Indicators (KPIs)
- Timely loading and unloading coordination.
- Reduction in vehicle detention time.
- Timely submission of PODs and operational documents.
- Accuracy of field reports.
- Customer and transporter satisfaction.
- Prompt issue identification and resolution.
- Compliance with company procedures.
Required Qualifications
- Higher Secondary (12th Pass) or Graduate in any discipline.
- 1–3 years of experience in transport, logistics, warehouse, or field operations is preferred.
- Freshers with a willingness to learn may also be considered.
Required Skills
- Good communication and interpersonal skills.
- Ability to coordinate effectively with drivers, customers, and plant personnel.
- Basic knowledge of transport documentation.
- Problem-solving and time management skills.
- Ability to work under pressure and meet operational deadlines.
- Basic knowledge of MS Office and smartphone applications such as WhatsApp, email, and GPS/location-sharing tools.
- Willingness to travel extensively and work in field conditions.
Working Conditions
- Extensive field travel to customer locations, warehouses, plants, and transport hubs.
- Flexible working hours based on operational requirements.
- Availability to handle urgent operational issues beyond normal office hours, if required.
Additional Duties
The employee shall perform any other operational, administrative, or field-related duties assigned by the Management from time to time in the best interest of the Company. The Company reserves the right to modify or expand the responsibilities of this position based on business requirements.
Pay: ₹10,000.00 - ₹17,000.00 per month
