Job Title: Chief of Staff & Executive Assistant to Chairman & MD
Role Summary
The single point of contact for all matters concerning the Chairman & MD. Owns his calendar, communication, paperwork, meetings, and — most critically — drives closure on every task he delegates to others across the organization, chasing it down until it's done.
Key Responsibilities
1. Coordination & Single-Point-of-Contact
- Be the funnel through which all requests, updates, and information reach the MD — filtering noise, prioritizing what's urgent
- Coordinate across MV Group entities (MVA, MV Projects, KKD Enterprises, Northwest Corp, UMR Realty, HRR Enterprises, Pixie Originals) on his behalf
- Liaise with other CXOs, department heads, and external stakeholders (clients, consultants, government offices, bankers) as his representative
2. Task & Follow-Up Management
- Log every task the MD assigns to any team member, with owner and deadline
- Run daily/weekly follow-ups until each task is closed — this is the core deliverable of the role, not an occasional activity
- Maintain a live tracker (open, overdue, closed) and flag stuck items to the MD proactively, before he has to ask
- Escalate non-responsive owners appropriately
3. Meetings & Documentation
- Schedule and manage the MD's calendar, resolving conflicts, protecting focus time
- Attend meetings, take accurate minutes, circulate them, and track action items to closure
- Prepare agendas, briefing notes, and pre-reads before meetings
4. Communication Management
- Draft, screen, and respond to correspondence (email, WhatsApp, letters) on his behalf where appropriate
- Ensure he's briefed on anything he needs to know — nothing falls through because "no one told him"
5. Paperwork & Documentation
- Manage contracts, approvals, signatures, and filing that route through the MD's desk
- Maintain confidentiality on all financial, legal, and strategic documents
6. Reminders & Time Management
- Proactively remind him of deadlines, commitments, travel, and personal-professional overlaps
- Anticipate what he'll need before he asks for it
7. Dashboards & Reporting
- Build and maintain live dashboards tracking task status, follow-ups, meeting action items, and key deliverables across entities — so the MD has a single-glance view of what's pending, overdue, and closed
- Comfortable working in Excel/Google Sheets (pivot tables, conditional formatting, linked trackers) at minimum; exposure to tools like Notion, Power BI, or similar is a strong plus
8. Communication, Presentations & Technology
- Excellent written and verbal communication — able to draft crisp emails, notes, and correspondence that read as if the MD wrote them himself
- Strong presentation skills — can build polished PowerPoint decks for board meetings, reviews, and external stakeholder discussions with minimal direction
- Tech-savvy and quick to adopt new tools — MS Office suite (advanced Excel/PPT), Google Workspace, calendar/scheduling tools, and any PM/tracking software the office uses
- Not intimidated by systems — actively looks for ways to digitize and streamline what's currently manual
Required Skills & Attributes
- MBA graduate (any specialization; Operations/General Management preferred) — non-negotiable qualification for this role
- Comfortable with real estate/construction sector pace and terminology (or fast learner)
- Extreme ownership — treats the MD's open items as their own until closed
- Sharp written and verbal English; can draft professional correspondence independently
- High EQ — reads the room, manages sensitive/confidential matters with discretion
- Assertive enough to chase senior people for closure without being told twice
- Strong organisational systems — trackers, calendars, follow-up cadences
- Absolute discretion and confidentiality — non-negotiable given exposure to financial and strategic information
- Available for the hours a promoter-level role demands (some flexibility outside standard hours expected)
Pay: ₹50,000.00 - ₹100,000.00 per month
