About the Role
We are looking for an organized, proactive, and dependable Office Administrator to manage daily workplace operations at our Bangalore office. In this role, you will be the backbone of our office facility—handling day-to-day administrative requests, managing pantry and office inventory, overseeing housekeeping and support staff, maintaining biometric access systems, and coordinating with local vendors.
Fluency in Kannada is mandatory to ensure smooth communication with local vendors, facility teams, building management, and support staff.
Key Responsibilities
- Day-to-Day Office Administration: Act as the primary point of contact for employee workplace requests, desk allocations, mail/courier handling, visitor management, and daily office readiness.
- Housekeeping & Facility Management: Supervise housekeeping, security, and pantry staff to maintain high standards of hygiene, cleanliness, and workplace upkeep across all office areas.
- Inventory & Procurement Management: Monitor and maintain optimum stock levels of office stationery, pantry items, cleaning supplies, and first-aid kits. Coordinate regular replenishment and manage purchase orders.
- Biometric & Access Management: Oversee the biometric attendance and access control systems, handle new employee registrations, resolve access card issues, and pull attendance logs when required.
- Vendor & Asset Coordination: Liaise with local vendors for AMC maintenance (AC, water purifiers, UPS, printers, pest control, coffee machines), verify invoices, and track asset distribution.
- Event & Meeting Support: Assist in logistics, seating, and food/beverage coordination for internal events, team lunches, client visits, and town halls.
- Building & Landlord Liaison: Interface with building property management, security desks, and local municipal service providers to address utility or maintenance escalations.
Required Skills & Qualifications
- Experience: 1–5 years of proven experience as an Office Administrator, Facilities Executive, or Workplace Coordinator in a corporate or fast-growing office environment.
- Language Proficiency: Must be fluent in spoken and written Kannada and English to coordinate effectively with local service staff, vendors, and corporate teams.
- Operational Rigor: Strong hands-on experience managing housekeeping, pantry operations, office stationery, and procurement trackers.
- Technical & System Familiarity: Practical experience operating biometric attendance devices, access management software, and basic MS Office/Google Workspace tools (Excel, Google Sheets).
- Communication & Vendor Handling: Good negotiation and interpersonal skills for vendor interactions, billing validation, and cross-team employee support.
- Problem-Solving & Ownership: A proactive mindset to spot facility issues early and resolve day-to-day office bottlenecks quickly.
Preferred Attributes
- Prior experience working in a tech startup, IT company, or multinational corporate office in Bangalore.
- Familiarity with local safety, fire compliance, and building access protocols.
Pay: ₹400,000.00 - ₹450,000.00 per year
