The Role
You will be our single point of contact for everything vendor-related — payments, bills, reconciliations, and communication. This is a high-trust, zero-error role: the ledgers you maintain must be accurate to the last rupee, every single day. If a ledger is downloaded at any time, it should be perfect.
Key Responsibilities
Vendor Payments & Records
- Process and manage all vendor payments accurately and on time
- Maintain bill-wise records for every vendor
- Reconcile vendor ledgers daily and keep them clean, current, and error-free
Vendor Relationship Management
- Act as the primary point of contact (the "go-to person") for all vendors
- Ensure every vendor email and call is answered or reverted the same day — no exceptions
- Build and maintain strong, professional relationships with the vendor base
Coordination & Issue Resolution
- Coordinate with the category/buying teams to resolve all vendor-related mismatches (pricing, quantity, returns, debit/credit notes)
- Investigate and close discrepancies promptly
Forecasting
- Forecast vendor payment requirements to support cash-flow planning
- Flag upcoming dues and payment priorities to management
GST & Input Compliance
- Track GST 2A/2B daily from the GST portal
- Match 2A/2B with purchase invoices and vendor bills to ensure full Input Tax Credit (ITC) compliance
- Reconcile GST data against vendor ledgers and resolve gaps directly with vendors
Multi-Store Coverage
- Perform all of the above for every store — existing, under development, and planned — as the business grows
What We're Looking For
- B.Com / M.Com or equivalent
- [2–4] years of experience in accounts payable / vendor management (retail, FMCG, or multi-store experience preferred)
- Strong hands-on knowledge of Tally (or equivalent ERP)
- Solid understanding of GST — especially 2A/2B reconciliation and ITC
- Excellent communication skills for handling vendors confidently and professionally
- Exceptional attention to detail — accuracy is non-negotiable
- Ability to stay organized and reconcile high volumes across multiple locations
- A genuine ownership mindset — you treat the vendor function as your own
