Job Summary
We are looking for a smart, proactive, and highly organized Executive Assistant to provide comprehensive administrative and operational support to the Director.
The ideal candidate should possess excellent communication skills, strong organizational abilities, and the capability to manage confidential information, coordinate with multiple departments, prepare reports, and ensure timely execution of management directives.
The role requires a high level of professionalism, follow-up skills, attention to detail, and the ability to work independently in a fast-paced business environment.
Key Responsibilities
1. Executive & Administrative Support
- Manage the Director's calendar, meetings, appointments, and daily schedule.
- Organize meetings, prepare agendas, and record Minutes of Meeting (MoM).
- Prioritize and manage daily tasks, reminders, and follow-ups.
- Handle confidential documents and sensitive business information with complete discretion.
2. Communication & Coordination
- Act as a communication bridge between the Director and internal departments.
- Coordinate with Sales, Purchase, HR, Accounts, Production, Dispatch, and Project teams.
- Draft professional emails, business letters, meeting notes, and official correspondence.
- Follow up with internal teams to ensure timely completion of assigned tasks.
3. Documentation & Reporting
- Prepare daily, weekly, and monthly MIS reports.
- Maintain business records, files, agreements, and confidential documents.
- Compile presentations, reports, and business summaries for management review.
- Track pending approvals, action items, and project updates.
4. Business Coordination
- Assist the Director in monitoring business operations and departmental performance.
- Coordinate with vendors, clients, consultants, and external stakeholders whenever required.
- Support management in project coordination and business planning activities.
- Ensure timely communication between departments for smooth workflow.
5. Office Administration
- Maintain organized digital and physical records.
- Arrange meetings, video conferences, and business travel (if required).
- Monitor task completion timelines and maintain follow-up trackers.
- Support various administrative and operational activities assigned by management.
Technical Competencies
- Excellent knowledge of Microsoft Excel (Mandatory).
- Proficiency in Microsoft Word and PowerPoint.
- Strong skills in preparing MIS reports, trackers, and management reports.
- Professional email drafting and business communication skills.
- Knowledge of document management and record maintenance.
- Ability to prepare presentations, meeting minutes, and business reports.
- Eligibility CriteriaEducation
- Graduate in any discipline.
- MBA or Business Administration background will be an added advantage.
