Position SummaryThe Facility Executive - Soft Services is responsible for managing and coordinating all soft facility services within the branch office to ensure a clean, safe, and efficient working environment that supports business operations and enhances customer experience. This role focuses on managing vendor relationships, service quality, and compliance with banking industry standards.
Key ResponsibilitiesSoft Services Management
Oversee daily housekeeping operations including cleaning schedules, quality control, and staff supervision
Manage pest control services and coordinate regular treatments to maintain hygienic standards
Coordinate waste management services including secure document disposal and recycling programs
Supervise landscaping and grounds maintenance for branch premises
Manage catering services for meetings, events, and employee facilities
Vendor Management
Establish and maintain relationships with soft services vendors and contractors
Monitor service level agreements and ensure compliance with contracted standards
Conduct regular vendor performance reviews and implement improvement plans
Negotiate contracts and manage budgets for soft services categories
Coordinate vendor access and security clearances in accordance with bank policies
Compliance and Security
Ensure all services comply with banking regulations and security requirements
Implement and monitor health and safety protocols for service providers
Coordinate background verification for all service personnel accessing bank premises
Maintain documentation for regulatory audits and compliance reporting
Monitor adherence to environmental and sustainability standards
Quality Assurance
Conduct regular inspections and quality audits of all soft services
Implement customer feedback systems and address service-related concerns
Develop and maintain standard operating procedures for all service categories
Track key performance indicators and prepare regular service reports
Coordinate emergency response procedures for facility-related incidents
Administrative Functions
Manage service schedules and coordinate with branch operations
Process invoices and maintain accurate records of all service activities
Prepare budgets and cost analysis reports for soft services
Coordinate with IT support for facility-related technology needs
Liaise with branch management on space planning and utilization
