About the Role
We are looking for an experienced and highly organized Admin Manager. This role involves leading the administration function across multiple centres, ensuring strong control over documentation, compliance, and facility operations, while managing a team of administrators.
The ideal candidate will have strong leadership capabilities, operational expertise, and hands-on experience in managing documentation, legal compliance, and multi-location administration in a fast-paced environment.
Key Responsibilities
1. Team Management & Leadership
- Lead, manage, and mentor a team of Admin Executives across all centres.
- Define roles, track performance, and ensure accountability.
- Establish SOPs and streamline administrative processes.
2. Multi-Centre Operations Oversight
- Ensure smooth day-to-day operations across all centres.
- Act as the central point of control for administrative efficiency and issue resolution.
- Maintain consistency in processes and service standards across locations.
3. Facility Management
- Oversee end-to-end facility operations for clinics and gyms.
- Ensure all centres are fully functional, compliant, and well-maintained.
- Handle escalations and preventive maintenance planning.
4. Delivery & Logistics Management
- Own and manage all deliveries (equipment, supplies, new centre setup).
- Ensure timely coordination, tracking, and execution across locations.
- Plan logistics for new centre launches.
5. Vendor Management & Procurement
- Identify, onboard, and manage vendors for all operational needs.
- Negotiate contracts, pricing, and SLAs.
- Monitor vendor performance and ensure quality standards.
6. Documentation & Legal Compliance (Critical Responsibility)
- Own and maintain all centre-related documentation, including leases, vendor agreements, licenses, and compliance records.
- Ensure all legal and regulatory requirements for each centre are fulfilled, updated, and properly documented. Maintain an organized, audit-ready documentation system across centres.
7. Financial & Administrative Documentation Control
- Track and maintain all financial and operational documents related to centres (invoices, contracts, expense records, etc.)
- Coordinate with Finance to ensure accurate documentation and timely submissions
- Ensure proper record-keeping, verification, and audit readiness
8. Location Scouting & Expansion Support
- Lead identification and evaluation of new properties
- Coordinate site visits, documentation, and readiness for launch
9. Cross-functional Coordination
- Work closely with HR, Finance, and Operations teams
- Support budgeting, cost control, and operational planning
Qualifications & Requirements
- Bachelor’s degree (B.Tech, BBA, B.Com or equivalent), Master’s degree is a plus.
- 4-8 years of experience in administration, facility management, or operations.
- Strong experience in documentation management and compliance handling.
- Proven experience managing teams and multi-location operations (mandatory).
- Strong leadership, negotiation, and problem-solving skills.
- Proficiency in MS Office (Excel proficiency preferred).
- Must own a bike/scooter and have a valid driving license.
