JOB DESCRIPTION (JD) – Computer Operator / Assistant to Sales GM

Position Summary
The Computer Operator / Assistant to Sales GM will provide administrative, data management, reporting, and coordination support to the Sales GM to ensure smooth functioning of showroom sales operations. The role requires proficiency in computer applications, data entry, report preparation, customer database management, and coordination with sales teams and other departments.
Key ResponsibilitiesSales Administration & Data Management
- Maintain daily sales records and update customer databases.
- Prepare and circulate Daily Sales Reports (DSR), booking reports, retail reports, and other MIS reports.
- Ensure timely and accurate data entry in CRM, DMS, or company software.
- Track enquiry, booking, delivery, and retail status and provide updates to the Sales GM.
- Maintain records of sales targets, achievements, and performance metrics.
Reporting & Documentation
- Prepare daily, weekly, and monthly sales reports.
- Maintain sales-related documents, customer files, and vehicle delivery records.
- Assist in preparing presentations, business reviews, and management reports.
- Generate reports required by OEM and dealership management.
Coordination & Communication
- Coordinate with sales executives regarding enquiry updates, bookings, and deliveries.
- Follow up with various departments such as Accounts, Insurance, RTO, and Service for sales-related requirements.
- Assist the Sales GM in scheduling meetings, preparing agendas, and recording minutes of meetings.
- Ensure timely communication of management instructions to the sales team.
Customer Database & Follow-Up Support
- Maintain accurate customer contact details and sales records.
- Support customer follow-up activities through calls, messages, and email communications.
- Assist in lead allocation and lead tracking processes.
- Prepare customer feedback and satisfaction reports.
Administrative Support
- Manage office correspondence, emails, and documentation.
- Maintain filing systems (physical and digital).
- Assist in event planning, sales campaigns, and promotional activities.
- Perform other administrative duties assigned by the Sales GM.
Required Qualifications
- Graduate in any discipline (preferred).
- Diploma or certification in Computer Applications will be an added advantage.
- Freshers with good computer knowledge may also apply.
Required Skills
- Proficiency in MS Excel, MS Word, PowerPoint, and email applications.
- Strong data entry and typing skills.
- Good knowledge of report preparation and MIS management.
- Basic understanding of sales processes and customer handling.
- Good communication and interpersonal skills.
- Attention to detail and accuracy in data management.
- Ability to work under deadlines and multitask effectively.
Experience
- 0–3 years of experience in data entry, administration, sales coordination, or computer operator roles.
- Experience in automobile dealerships will be preferred.
